Adding a file to a report

You can add a file or a Document Manager file (if you have Document Manager) to a report, including Word documents (.RTF or .DOCX), Excel spreadsheets, PDF files, and image files.

There is a constraint in the size of the file that can be added to a report. The file size of the Microsoft Word document is dependent on its content and on the inclusion of any graphics. So it is difficult to say exactly what the maximum file size is.

Microsoft Excel spreadsheets can also be added to a report if they are first converted to a Microsoft Word document.

You are able to select exactly where the file is inserted into the report.

When you add a file to a report, and the file is only located on your computer, then other people will not be able to view the added file. If you require other team members to be able to view the added file, then ensure that its location is accessible to all people that will need to view it.

How to add a file to a report
  1. Preview the financial statement for the client. See Previewing financial statements. The Report Preview window opens.
  2. Click the Insert Item drop-down on the main menu and select the From File option.
    or
    Click the Insert Item option on the main menu. The Open window opens.
  3. Browse and select the appropriate file. The Insert Item window opens. The Title field automatically displays the file name, although this can be changed if necessary.
  4. Select whether to Insert the file Before or After.

    You can insert up to 20 pages into a report. This can be one file or multiple files but cannot exceed 20 pages in total.

  5. After you've inserted a file, you'll see the following message that will suggest the margins on the top, bottom, left, and right. Based on this, you can make changes to the original file and then insert it into the report.

    Your document has been inserted. For best results, we will dynamically cut your document to fit into the report. We suggest you set the margins in your inserted file as follows.
    Top margin in X cm,Bottom margin in X cm, Left margin in X cm, Right margin in X cm.

    If the margins are different, some content from your document might be hidden. For more information, click here. 

  6. From the drop-down, select the appropriate place in the report where to insert the file.
  7. Select the appropriate Page orientation of the inserted file - Portrait or Landscape.
  8. Click OK.

The file is inserted into the report and the report is re-generated to include the inserted file.

When you close the report you are previewing, you can choose to save the inserted document(s) in the report. All saved documents will be made available to all team members who have access to this report.

How to add a Document Manager file to a report

You will only be able to add a Document Manager file to a report if you have Document Manager installed.

  1. Preview the financial statement for the client. See Previewing financial statements. The Report Preview window opens.
  2. Click the Insert Item drop-down on the main menu and select the Document Manager option. The Document Manager Search for a document window opens.
  3. Search and select the appropriate file. The Insert Item window opens.The Title field automatically displays the file name, although this can be changed if necessary.
  4. Select whether to Insert the file Before or After.

  5. Then from the drop-down, select the appropriate place in the report where to insert the file.

The Document Manager file is inserted into the report and the report is re-generated to include the inserted Document Manager file.
When you close the report you are previewing, you can choose to save the inserted document(s) in the report. All saved documents will be made available to all team members who have access to this report.

How to remove an added file from a report
  1. Preview the financial statement for the client. See Previewing financial statements. The Report Preview window opens.
  2. Click the Insert Item drop-down on the main menu and select the Remove File option. The Remove Item window opens listing the items that have been inserted into the report.
  3. Click the checkbox for the appropriate file that is to be removed from the report.
  4. Click Remove.

The inserted item is removed from the report and the report is re-generated and will no longer include the previously inserted file.
