Format of CSV text file

This is not supported in Essentials Accounting.

When importing the accountant’s balances into Perform Opening Review, balances from a CSV text file can be imported which have been previously exported from another program. The CSV text file which lists the account codes, account names and balances from the general ledger requires a specific format. The format of the CSV Text File is verified before the balances are imported. If the format is incorrect, an error is displayed. Open the file in Microsoft Excel or Notepad and format the file correctly using the instructions below.

The CSV text file must be in one of two formats: a three column file, or a four column file.

A three column file

  • The columns must list the account code, account name, and amount.

  • The first row shows the column headings. The column headings must read Account Code, Account Name and Amount.

    There is a space in Account Code and Account Name.

  • If the account name has a comma, the entire account name must be enclosed within double quotes, e.g., “Profits earned this year, losses this year”.

  • The Amount column displays the balances. Credit balances must have a leading negative sign. Debit balances have no leading sign. Balances should be displayed in a plain numeric format with two decimal places and no dollar symbol. Balances must not have any separators (commas or spaces).

A four column file

  • The columns must list the account code, account name, debit amounts and credit amounts.

  • The first row shows the column headings. The column headings must read Account Code, Account Name, Debit and Credit.

    There is a space in Account Code and Account Name.

  • If the account name has a comma, the entire account name must be enclosed within double quotes, e.g., "Profits earned this year, losses this year".

  • The Debit and Credit columns display the balances. All balances must be displayed as positive values. Balances should be displayed in a plain numeric format with two decimal places and no dollar symbol. Balances must not have any separators (commas or spaces).
