Managing accounts

You can add, edit and delete accounts from one location. You can also add, edit and delete account type groups. This is enabled for the workpaper periods Not started and In progress. Any account code updates will be reflected in View Journals, Trial Balance, and the Account links section in linked workpapers.

MAS, Accounts or AO GL ledger users: You can't add, edit or delete accounts in the Workpapers module. The Accounts options are greyed out.

If you want to modify accounts, you need to do this in your MAS, Accounts or AO GL ledger.

The fields available in the Manage Accounts window are summarised in the following table:

A search field that enables you to search for values in the Account No. and Account Name fields.

Account No.

Chart of account number.

Account Name

Name of the header account.

Account Type

Type of the header account.

Account Type Group

Subcategories of the header account.

Tax Code

Type of tax account.

 

The fields available in the Manage Account Type Group window are summarised in the following table.

Profit and Loss or Balance Sheet category.

Account Type Group

Description of the main account.

Show Detailed in reports

Shows additional detail for each individual account under the account group.

To ensure that any updated account codes are displayed when viewing, posting or editing journals in a workpaper period, update account codes from the Manage Accounts link within the workpaper period. Do not update account codes from Cashbook online.

How to add a header account
  1. Open the workpapers period. See Opening an existing period. The Prepare Trial Balance (Workpapers) table is displayed.
  2. Click Manage Accounts in the TASKS bar.

  3. In the top row, enter details for:

  • Account No.

  • Account Name

  • Account Type in the drop-down

  • Account Type Group in the drop-down

  • Tax Code in the drop-down (if you do not want to enter a tax code, select NA).

  • In the last column, press either the [Enter] key or [Tab] key to add the new account.

  • Click the Submit button. The new account is posted to the ledger.

  • How to edit a header account
    1. Open the workpapers period. See Opening an existing period. The Prepare Trial Balance (Workpapers) table is displayed.
    2. Click Manage Accounts in the TASKS bar.

    3. In the Manage Accounts window, find the account you wish to edit. You can use the search field at the top of the window to search for values in the Account No. and Account Name fields.

    4. Click in a field you want to edit.

    5. Enter the new details.

    6. Click the Submit button. The new account details are posted to the ledger.

    How to delete a header account

    You cannot delete an account that has workpapers, linked documents, or unposted journals attached, or which has any balances or transactions. You also cannot delete a system account.

    1. Open the workpapers period. See Opening an existing period. The Prepare Trial Balance (Workpapers) table is displayed.
    2. Click Manage Accounts in the TASKS bar.

    3. In the Manage Accounts window, find the account you wish to edit. You can use the search field at the top of the window to search for values in the Account No. and Account Name fields.

    4. Select the account row.

    5. Click the Delete button.

    6. In the Delete window, click Yes.

    7. Click Submit. The account is removed from the ledger.

    How to add an account type group (account header)
    1. Open the workpapers period. See Opening an existing period. The Prepare Trial Balance (Workpapers) table is displayed.
    2. Click Manage Accounts in the TASKS bar.

    3. In the Manage Accounts window, select the account.

    4. Click on Manage Account Type Group.

    5. In the first row of the Manage Account Type Group window, enter details in the Account Type and Account Type Group fields.

      In the Show Detailed in reports field, select Yes if you wish to show accounts individually under the group heading when running reports; otherwise, select No.

    6. In the last column, hit either the Enter key or Tab key to add the new account type.

    7. Click OK. The account type group is added in the Manage Accounts window.

    8. In the Manage Accounts window, click Submit. The new account header is posted to the ledger.

    How to edit an account type group (account header)
    1. Open the workpapers period. See Opening an existing period. The Prepare Trial Balance (Workpapers) table is displayed.
    2. Click Manage Accounts in the TASKS bar.

    3. In the Manage Accounts window, find the account you wish to edit. You can use the search field at the top of the window to search for values in the Account No. and Account Name fields.

    4. Select the account.

    5. Click on Manage Account Type Group.

    6. In the Manage Account Type Group window, click in a field you want to edit. You can use the search field at the top of the window to search for values in the Account Type Group field.

    7. Enter the new details.

    8. Click OK. The account type group is updated in the Manage Accounts window.

    9. In the Manage Accounts window, click Submit. The new account header is updated in the ledger.

    How to delete an account type group (account header)

    This will delete only account headers from the ledger; it does not delete accounts.

    1. Open the workpapers period. See Opening an existing period. The Prepare Trial Balance (Workpapers) table is displayed.
    2. Click Manage Accounts in the TASKS bar.

    3. In the Manage Accounts window, find the account you wish to edit. You can use the search field at the top of the window to search for values in the Account No. and Account Name fields.

    4. Select the account row.

    5. Click on Manage Account Type Group.

    6. Select the row with the account type you want to delete. You can use the search field at the top of the window to search for values in the Account Type Group field.

    7. Click the Delete button.

    8. In the Delete window, click Yes.

    9. Click OK.

    10. In the Manage Accounts window, click Submit. The account header is removed from the workpaper or ledger; the accounts that were under the account header remain in the ledger under the preceding account header.
