Creating or editing a my.MYOB login for an employee

In order for an employee to access MYOB’s online services and AccountRight or Essentials files linked to clients in Client Accounting, they must have an MYOB Login.

To control employee access to the Edit my.MYOB Details window, change the #Employee #Edit my.MYOB details task permission in the Employee group for the Central product. By default, this task permission is granted to all users.

For example, if an employee without an MYOB Login tries to access an AccountRight Live file using Client Accounting, they will be prompted to specify an MYOB Login before continuing.

An employee’s MYOB Login must be unique within each MYOB database. You cannot have 2 employees with the same MYOB Login in the same database.
If an employee is required to access 2 different databases within the same practice, the employee can use the same MYOB Login for each database.

To enter existing MYOB Login details for an employee
  1. Find and open the employee. See Finding and opening employee records. The Employee page opens on the Main tab by default.

  2. Click Edit my.MYOB details on the Tasks bar. The Edit MYOB Login window opens. The This employee has an MYOB Login option is selected by default.

  3. Enter the existing MYOB Login details.

  4. Click OK. A message is displayed stating that the employee will be linked to your practice’s MYOB account.

  5. Click Yes to continue. The employee’s MYOB details are saved to the database in encrypted format and will be linked to the practice’s my.MYOB account. The employee can now login into MYOB using their MYOB Login details.

To give the user access to my.MYOB and other MYOB online services, follow the steps in Updating my employees rights in my.MYOB.

To create a new MYOB Login for an employee
  1. Find and open the employee. See Finding and opening employee records. The Employee page opens on the Main tab by default.

  2. Click Edit my.MYOB details on the Tasks bar. The Edit MYOB Login window opens. The This employee has an MYOB Login option is selected by default.

  3. Select the I would like to create an MYOB Login for this employee option.

  4. Enter the employee’s Email address. The employee’s email address is limited to a maximum of 100 alphanumeric characters.

  5. Re-enter the employee’s email address in the Confirm email address field. A message will be displayed stating that a new MYOB user will be created with the following details and linked to your practice’s MYOB account. A confirmation email will be sent to the employee allowing them to set a password for the account.

  6. Click Yes to continue. The employee’s MYOB details are saved to the database in encrypted format and will be linked to the practice’s my.MYOB account. The employee can now login into MYOB using their MYOB Login details.

Each employee creating an MYOB Login will receive an email containing a link to a web page that will help them set up their password for their my.MYOB account. Passwords will need to be at least 8 characters long and contain both letters and numbers. This password will not expire.

Creating an MYOB Login from within MYOB AE/AO does not provide the user access to the my.MYOB website or other MYOB online services.

To give the user access to my.MYOB and other MYOB online services, follow the steps in Updating my employees rights in my.MYOB.

To change existing MYOB Login details for an employee
  1. Find and open the employee. See Finding and opening employee records. The Employee page opens on the Main tab by default.

  2. Click Edit my.MYOB details on the Tasks bar. The Edit MYOB Login window opens. The This employee has an MYOB Login option is selected by default and the MYOB Login details are displayed.

  3. Delete the current MYOB Login details from the field.

  4. Enter different MYOB Login details.

  5. Click OK. A message is displayed stating that the original employee will be removed as a file user from any AccountRight Live files that have been linked to clients in Client Accounting. The newly entered MYOB Login details will be linked to your practice’s MYOB account.

  6. Click Yes to continue. The employee’s MYOB details are saved to the database in encrypted format and will be linked to the practice’s my.MYOB account. The employee can now log in to MYOB using their MYOB Login details.

Changing the login from within MYOB AE/AO does not provide the new login access to the my.MYOB website or other MYOB online services.

To give the user access to my.MYOB and other MYOB online services, follow the steps in Updating my employees rights in my.MYOB.

To create a new MYOB Login if there are existing details for an employee
  1. Find and open the employee. See Finding and opening employee records. The Employee page opens on the Main tab by default.

  2. Click Edit my.MYOB details on the Tasks bar. The Edit MYOB Login window opens. The This employee has an MYOB Login option is selected by default and the MYOB Login details are displayed.

  3. Select the I would like to create an MYOB Login for this employee option.

  4. Enter the employee’s Email address. The employee’s email address is limited to a maximum of 100 alphanumeric characters.

  5. Re-enter the employee’s email address in the Confirm email address field. A message will be displayed stating that a new MYOB user will be created with the following details and linked to your practice’s MYOB account. The original MYOB Login will be removed as a file user from any AccountRight Live files that have been linked to clients in Client Accounting.   3. Delete the MYOB Login details from the field.

  4. Click OK. A message is displayed stating that the employee has been removed as a file user from any AccountRight Live files that have been linked to clients in Client Accounting.

  5. Click Yes to continue.
