Editing or correcting posted timesheets in MYOB AE

Accountants Enterprise with Practice Manager only

 

Within Practice Manager, you have the option to correct timesheets once they have been posted as long as the entries haven't been billed. The entries can only be corrected; they can't be deleted.

You can change details recorded in timesheets, but the method used depends on the status of a timesheet.

The methods described below are applicable if you need to change a timesheet due to a mistake. It's not used to clear wip from lost clients. To clear wip from lost clients, see Entering write-ons/write-offs during billing.


The rules for correcting a posted timesheet include:

    • Only employees with the required authorisation settings can correct a timesheet once it has been posted. Refer to  Setting up employees to authorise bills and timesheets.
    • Once a period has been closed off, prior period corrections cannot be done. The Corrections or C button will not be available.
    • Corrections cannot be done for transactions already billed.
    • Once a timesheet has been corrected it does not have to be authorised and reposted.
    • Periodical view needs to be set in the Timesheet module. If Daily view is set, the entry must be opened before the corrections can be made.
    • If a timesheet lock date has been set, time entries prior to the lock date cannot be corrected. For more detailed information please refer to Time Setup > To set a timesheet lock date.

When you open a posted timesheet, any billed items will appear in red.

To correct a posted timesheet if the charges are incorrect
  1. Open the timesheet you want to correct. See Opening existing timesheets. The Timesheet page opens.

  2. Click Corrections in the Posting panel.

    If the Correction or C button is not available, then you cannot correct your timesheet as you do not have the authority to do so. Refer to your system administrator.

  3. Select the entry you want to correct. The Timesheet Time Entry window opens enabling you to make corrections.

    You can only adjust the time units, charges and cost fields. You cannot alter the client, assignment/job or task.

  4. Make the corrections to the timesheet.

  5. Click OK.

  6. Close the timesheet.

To correct a timesheet if the assignment is incorrect
  1. Open the timesheet you want to correct. See Opening existing timesheets. The Timesheet page opens.

  2. Click Corrections in the Posting panel.

    If the Corrections button is not available, then you cannot correct your timesheet as you do not have the authority to do so. Refer to your system administrator.

  3. Select the entry you want to correct. The Timesheet Time Entry window opens enabling you to make corrections.

    You can only adjust the time units, charges and cost fields. You cannot alter the assignment.

  4. Zero the units for that entry.

  5. Select the correct Client/Assignment in the first blank row at the top of the table.

  6. Select the correct Task from the drop-down.

  7. Complete the remaining fields of the timesheet as required.

  8. Enter a Comment explaining the reasons for the initial error.

  9. Click OK. The changes to the timesheet are saved. The incorrect entry remains on the timesheet but it is not displayed in any reports.

  10. Close the timesheet.
