Importing pay history

You may be setting up Payroll for a business which has been in operation for quite some time using a different payroll system, either manual or software based.

If this is the case, we recommend that you enter at least 52 weeks prior pay history in the Payroll setup process in order for the annual leave rates to be calculated correctly.

Importing pay history

You can import pay history using the Import Pay History Template provided in the instructions below. Import files must conform to this spreadsheet template to ensure the importing process runs smoothly. The use of this template requires Microsoft Excel 97 or later, or other equivalent spreadsheet software.

Notes

  • MYOB does not provide technical support for Microsoft products.
  • Pay history cannot be imported into Payroll if there are active pays.
To import pay history
  1. Right-click Import Pay History Template and choose to save the file to your Desktop.
  2. Double-click the downloaded file to open the spreadsheet.

  3. Enter your pay history into the applicable columns in the spreadsheet. This can be manually entered or pasted from another spreadsheet.

  4. Review your entered data to make sure it is complete and accurate.

  5. Save the spreadsheet in an easily accessible location, such as your Desktop.

  6. Close Excel.

    Before proceeding, ensure all applicable employees have been set up in Payroll, in other words via Maintenance > Maintain Employees, and that the employee code is correct.

  7. Start Payroll.

  8. Go to the Tools menu and click Enter History.

  9. Click Import. The Confirm PAYE Period window is displayed.

  10. Choose the PAYE period the first entry applies to then click OK.

  11. Click Import. The Import History window is displayed.

  12. Click the button at the end of the Import History from field and locate (browse to) your saved spreadsheet, then click OK.

  13. Click Import.

Why am I getting the warning "The selected file is either open or not a spreadsheet file"?

The following warning may display when importing a template created in, opened, or saved using Microsoft Office 2007 or later:

"The selected file is either open or not a spreadsheet file"

To resolve this issue:

  1. Open the Import Pay History spreadsheet in Excel.
  2. Save the spreadsheet as type Microsoft Excel 5.0/95 Workbook (*.xls) format as shown below:

  3. Click Save.
  4. Repeat the import process as described above.
