Setting up a Long Service Leave Accumulator

Long service leave requires three elements to be set up within your Payroll software: an accumulator, pay code and pay default. See the steps below for how to set up each element and use your long service leave accumulator.

 

1. Set up the accumulator
  1. Go to the Payroll menu and choose Maintain Accumulators.
  2. Click New or press F4on your keyboard. The New Accumulator window is displayed.
  3. Enter the Accumulator Code and Description. It is recommended that you use the same code as you will use for the pay code. See our example below.

  4. Click OK. The accumulator is now ready to use. The next step is to setup the Pay Code as described below.
2. Set up the pay code
  1. Go to the Maintenance command centre and click Maintain Pay Codes.
  2. Click New or press F4 on your keyboard. The New Pay Code window is displayed.
  3. As the Pay Code Type, choose Gross Earnings.
  4. Enter the Pay Code and Pay Code Description. See our example below.

  5. Click OK. The new pay code will now be in the list of pay codes.
  6. Click the General tab.
  7. In the Pay Code rate is based on employee's payrate section, select the Normal option and enter 1.00 in the Multiplied by field. This will ensure the Long Service Leave will be paid at the employee's normal rate of pay.
  8. Click the Accumulators tab.
  9. In the Accumulate quantities to field, select the Long Service Leave option and choose the Decrease accumulator balance option as shown below.

The pay code is now set up. The next step is to set up the Pay Default as described below.

3. Set up the pay default
  1. Go to the Maintenance command centre and click Maintain Employees.
  2. Click Select Employee.
  3. Click the applicable employee then click OK.
  4. Click the Pay Defaults/Totals tab.
  5. Click New or press F4 on your keyboard.
  6. Select the LSL pay code then click OK.
  7. Click the Accumulator tab.
  8. Click New or press F4 on your keyboard.
  9. Select the accumulator to add, for example LSL.
  10. Enter the Current Balance of the Long Service Leave. See our example below.
    [Optional] Select the option to show the Long Service Leave balance on the employee's payslip.

The Long Service Leave is now set up. The balance of the accumulator will automatically reduce as the leave is taken.
