Publishing documents to your portal

The Publish to Portal option enables you to use MYOB AE/AO Live to publish documents to the cloud.

Documents can now be published to a collaboration portal so that your clients can either digitally approve them or simply view and store the documents for their records.

You are able to publish documents that are:

  • part of Document Manager with a status of Completed or Approved
  • , or
  • attached to your client and part of their Client > Documents tab
  • to your collaborative portal.

If you select to publish a document that it not in PDF format, then the file will be converted to PDF before it is copied to the portal. This is so that any documents you publish can, potentially, be digitally signed. The following file formats are currently supported and will be converted to PDF when you publish a document to your portal:

  • Microsoft Office formats — doc, docx, ppt, pptx, rtf, xls, xlsx

  • Graphic formats — bmp, gif, jpg, jpeg, png

  • Others — htm, html, msg, tif, txt, xml.

The maximum file size for a document that is to be published to the portal is 18MB.
If you are publishing multiple documents to the portal, then the file size can be more than 18MB. But, please ensure that the file size for an individual document is not greater than 18MB, otherwise you will receive an error.

At this stage, documents that are published to the portal are not under any version control. You’re able to publish the same file from the desktop to the portal multiple times and a separate copy is produced each time.

Whatever task associations or changes are made to the document in the portal, they are not relayed back to your desktop. If you would like to make the changes available for MYOB AE/AO on your desktop, then you will have to download the file from MYOB AE/AO Live and import the document.

If a document possesses any security restrictions, you will not be able to publish it to the portal. You will receive the following error
The document type is not a supported file type.
