You can print or email sales (invoices, sales orders and quotes) when recording the transactionyou record them. Or, you can print or email your sales documents later, in a batch. If your company file is online, you can track invoice activity and get paid faster. Learn more about online invoicing.

If you've set up AccountRight to send emails, you're good to go.

When you email an invoice set up for Online Invoice Payments, there's an option to also send an SMS with a link to the online invoice. This option is only available when you send invoices directly from AccountRight's emailing service (not via Microsoft Outlook).

Sales are generated using the form you choose at the time of emailing or printing, and you can personalise these forms to suit your business needs.

You can also set a customer's preferred method for receiving their invoices, or choose this when recording the sale.

Automatic printing

There's a few time-saving preferences you can turn on to magically print your sales, packing slips and mailing labels.

You'll find these preferences via Setup menu >Preferences > Sales tab.

To set a customer's delivery preference

  1. Go to the Card File command centre and click Cards List.
  2. Click the Customer tab.
  3. Click the zoom arrow to open the customer's card.
  4. Click the Selling Details tab.
  5. Select the Invoice Delivery. If you choose To Be Emailed or To Be Printed and Emailed, invoices will be sent to the email address recorded on the Profile tab of the customer's card.

  6. Click OK.

The default delivery status is now set for the customer. This can be changed when recording the sale.

    SMS is only available when you email an Online Invoice Payments-enabled invoice using AccountRight's email service. It's not available when you email invoices via Microsoft Outlook.

     

    1. Select the Send SMS option.

    2. Choose the customer's Mobile number (if it has been entered into the customer's card), or enter a valid mobile number here.

      If you key in an SMS number, it won't be added to the customer's card. You'll need to update the customer if you want to retain this number.

  3. Click Send. The sale will be emailed as a PDF attachment.

titleTo send an invoice link via SMS

To send an invoice link via SMS

Australia only - when set up for online invoice payments

When you email an invoice, you can also choose to send a link to the online invoice via SMS. When the customer clicks the link in the SMS message, it'll open their online invoice in a web browser.

This option is only available when you send invoices directly from AccountRight's emailing service (not via Microsoft Outlook).

  1. If you haven't already, create the invoice. If it's an existing invoice, go to Sales > Sales Register > Open Invoices tab and click the blue zoom Image Added arrow to open the invoice.
  2. Click Send To > Email.
  3. Confirm the customer's email address, subject and message.

  4. Select the Send SMS option.

  5. Choose the customer's Mobile number (if it has been entered into the customer's contact record), or enter a valid mobile number here.

  6. When you're ready, click Send.

To print or email recorded sales

in a batch

Instead of printing each sale when you record it, you can print or email them later, either one at a time or in a batch.

  1. Go to the Sales command centre and click Print/Email Invoices.
  2. Click the To Be Printed or To Be Emailed tab, depending on how you want to send the sale.
  3. Select the Sales Type to show only Service, Item, Professional, Time Billing or Packing Slip. The sales waiting to be printed or emailed will be listed.
  4. If you want to view the details of a transaction, click the zoom arrow ( ) next to it.

    Can't find a sale?

    It might have already been printed or emailed. Click Advanced Filters and deselect the option Unprinted or Unsent Sales Only.

  5. If you want to change the form template to be used for the sales, or filter the list of sales, click Advanced Filters. For more information, see Advanced batch filters.

  6. If you're printing sales:

    1. Type the number of copies you want to print in the Print field.

    2. Select the sales you want to print.
    3. Click Print. The sales will be sent to your printer.

  7. If you're emailing sales:

    1. Select the sales you want to email.
    2. If you want to change the recipient email address, subject or message, click to highlight the sale and update the details at the top of the window. Learn how to change the email defaults.
    3. (Optional) To email an invoice to multiple email addresses, enter the addresses in the Email Address field, separated by semi-colons (;).
    4. Click Send Email. The invoices will be emailed as PDF attachments.

To reprint or re-email sales

If you've already printed or emailed a sale, here's how to do it again:

  1. Go to the Sales command centre and click Print/Email Invoices.
  2. Click the To Be Printed or To Be Emailed tab.
  3. Select the Sales Type to show only Service, Item, Professional, Time Billing or Packing Slip.
  4. Click Advanced Filters.

  5. Deselect the option Unprinted or Unsent Sales Only.
  6. Click OK. The sales you've previously printed or emailed will be listed again.
  7. If you're printing sales:

    1. Type the number of copies you want to print in the Print field.

    2. Select the sales you want to print.

      If you want to change the invoice to indicate that it's being re-sent, for example, by adding a text box with the word 'Copy', you can customise an invoice on the spot. Just click Advanced Filters > Customise, select the form you want to customise and make your changes. For more information, see Add text and fields to forms.

    3. Click Print. The sales will be sent to your printer.

  8. If you're emailing sales:

    1. Select the sales you want to email.
    2. If you want to change the recipient email address, subject or message, click to highlight the sale and update the details at the top of the window. Learn how to change the email defaults.

To set the default sales form

AccountRight has default sale forms you can use, and you can customise these forms to suit your business needs.

If you want to change the default form that's used for a sale type, here's how:

  1. Go to the Sales command centre and click Print/Email Invoices.
  2. Click Advanced Filters.
  3. Choose the Sales Type. (this is the layout used for the sale: Service, Item, Professional, Time Billing)
  4. Choose your customised form as the Selected Form for Sale.

The selected form wiill will now be used when printing or emailing sales for that sale type.

titleTo print a packing slip

To print a packing slip

  1. Go to the Sales command centre and click Print/Email invoices.
  2. In the Sales Type field, select the applicable Packing Slip. This is based on the layout used for the sale (Service, Item or Professional).

    The associated sales will be listed.
  3. If you want to:
    • print a packing slip for an order or quote: click Advanced Filters and change the Sale Status to Orders or Quotes.
    • re-print a packing slip for a sale which has already been printed: click Advanced Filters and deselect the option Unprinted or Unsent Sales Only.
  4. Select the sales for which you want to print packing slips.
  5. Click Print.

How do I remove a sale from the print or email queue?

If it's just one or two sales you need to remove, open the sale and change the Delivery Status to Already Printed or Sent.
