YourPay is no longer available for Australia

In the new MYOB Essentials (also known as MYOB Business), you'll need to use the MYOB Team app.

 

YourPay is a web page that works with MYOB Essentials where your employees can enter timesheets and check their last 5 payslips. It works on any browser via a smartphone, tablet or computer, so they can access it anywhere - and no need to download an app.

For you, it means a simpler pay day with more accuracy and less admin – employee hours and notes are automatically imported into the pay run, and payslips are sent straight to YourPay for your employees to access. And it's all part of your subscription – no extra charge. Don't want to use YourPay? You can still enter your employees' hours manually.

  1. Go to Employees.
  2. Select the employee you want to invite.
  3. In the Employee details tab, click Invite employee to YourPay. (If there's no email address listed for the employee, you'll be prompted to add one).
  4. We'll email your employee with details about joining YourPay, plus a link they can access it from.

  5. Select This employee will fill in timesheets in the Pay details section of the employee card to allow the employee to enter timesheets.

Working with timesheets when you do a pay run

Ready to do a pay run? Here's how you'll work with the timesheets your employees submit using YourPay.

  1. From the Pay centre, select your pay run dates and employees as usual, then click Start pay run.

  2. For each employee, the total hours entered for that pay period through YourPay will appear in the Normal hours field.

    Need a breakdown of the hours worked?

    Click the View timesheets link at the right of the page. It'll download an Excel report that shows the hours your employees worked each day of the pay period, plus any notes they've attached. (There's also a View timesheets link on the previous screen of the pay centre.)

    This is handy if someone in your business needs to approve submitted hours before processing the pay. Just view the timesheets in Excel and print or email them for approval.

  3. Check that the hours are right. If they aren't, change them manually.

    Did an employee work 'non-normal' hours?

    If an employee worked any overtime or took annual, sick or bereavement leave, you'll need to move these hours out of the Normal hours field and into the appropriate field.

    For example, say an employee attached a note to her timesheet to say she worked 2 hours overtime on top of her normal 40. You'll see 42 hours in the Normal hours field. You'll need to manually move 2 of these to the Overtime field.

  4. Once you've confirmed the hours are correct, continue your pay run as usual.

What about overtime, leave or any other 'non-normal' work hours?

Employees can only enter the total hours to be paid for a shift. This inludes overtime, paid leave or any hours which aren't classed as 'normal'. For example, if an employee works 2 hours overtime on top of their usual 8 hour shift, they'll enter 10 hours for the shift.

Similarly, if they took paid leave, they'll enter the number of hours leave they took for the shift.

The employee should also enter a note on the timesheet with details about the extra hours. Click the View timesheets link at the right of the page to download an Excel report that shows the hours your employees worked each day of the pay period, plus any notes they've attached. (There's also a View timesheets link on the previous screen of the pay centre.)

Can I track the hours my salaried employees work using YourPay?

Yep! If you have employees on an annual salary and you want to track the hours they work, you can get them to submit timesheets using YourPay. When you invite them, you'll just need to select This employee will fill in timesheets in the Pay details section of their employee card.

You'd then click View timesheets during a pay run to check their hours. But keep in mind that the hours they submit will be automatically imported into the pay run, so you'll need to overwrite them each time.

If your employee is logging into YourPay and can't see the timesheet section, you'll need to select the option This employee will fill in timesheets in the Pay details section of the Employee details tab of the employee's record in MYOB Essentials (Payroll menu > Employees > click the employee's name > Employee details tab).

While there isn't a report you can run, the easiest way to view submitted timesheets is:

  1. Start a new pay run (Payroll menu > Enter pay).
  2. In the From and To dates, enter the pay period dates for the timesheets you want to view.
  3. Click View timesheets.
