Moving RetailManager to a new computer involves copying certain files between computers, setting up RetailManager on the new computer. The steps you need to follow depend on whether you're moving to a new stand alone or server computer, or whether you're moving to a networked machine.

  • Take a note of all your RetailManager settings and options for cashup, accounting and payments (Setup > Options and Setup > Hardware). You need to do this because RetailManager's setup options are stored in the Windows registry and cannot be moved from one computer to another.
  • Do a lookup of the last sale and note the docket number, date, and time. To do this, go to the Tools menu and choose Lookup then click Show Last Sale.
  • Ensure all users are logged out of your RetailManager network.

titleMoving to a new standalone or server computer

Before removing the old computer, there are certain files that we recommend saving so that they can be transferred to the new computer.

  • config.mdb file. This file is located in the RetailM folder on the hard drive on the old computer, for example C:\\RetailM
  • Your shopfront folder(s). This folder is the name of your shopfront, for example Clearwater Pty Ltd. This folder is located in the RetailM folder on the hard drive on the old computer, for example C:\\RetailM\Clearwater Pty Ltd.
  • CustomLabel.def file. This file holds the customised barcode labels that you set up within RetailManager. This file is located in the RetailM folder on the hard drive on the old computer, for example C:\\RetailM
  • Copies of any customised reports and invoices. These files will be in either the Reports folder or the Dockets folder of the RetailM folder, for example C:\\RetailM\Dockets or C:\\RetailM\Report

If the old computer will still be connected via a network you can copy these files directly to the new computer, otherwise you will need to copy them via an alternate format (CD or USB drive).

It is important to note that if you copy these files to a CD then you will need to make sure that once they are put onto the new computer that the read only attribute is taken off. To do this, right click on the file in Windows Explorer and go to properties then un-tick the read only attribute and press ok.)

On the new computer

  1. Log into Windows as an Administrator.
  2. Install the latest version of RetailManager. There is no need to install any previous versions of the program even if you started on them.

  3. Copy the config.mdb file from the old computer and paste into the RetailM folder on the new computer, for example C:\RetailM. At the message asking if you want to overwrite the existing file, click Yes.
  4. Copy the shopfront folder from the old computer and paste into the RetailM folder on the new computer, for example C:\RetailM. At the message asking if you want to overwrite the existing file, click Yes.
  5. Copy the customlabel.def file from the old computer and paste into the RetailM folder on the new computer, for example C:\RetailM. At the message asking if you want to overwrite the existing file, click Yes.
  6. Copy the customised reports and invoices from the old computer and paste into the appropriate folders within the RetailM folder on the new computer, for example C:\RetailM\Dockets or C:\RetailM\Reports. At the message asking if you want to overwrite the existing files, click Yes.
  7. Open RetailManager and answer Yes to the question asking if you want to transfer the license.
  8. Go to the File menu and choose Configuration.
  9. Select your shopfront and click the Maintenance tab.
  10. Click Rebuild/Compact.
  11. When the Rebuild/Compact is successful, close the window and open your shopfront.
  12. Go to the Tools menu and choose Lookup then click Show Last Sale.
  13. Ensure the last sale matches the sale that you noted earlier.
  14. Uninstall RetailManager from the old machine.
  15. In RetailManager on the new machine, specify all your settings and options that you noted earlier (Setup > Options and Setup > Hardware). For a server computer only
  16. If you are on a network, in order to minimize disruption it would be best to ensure that the new computer has the same computer name as the old one. If the computer name remains the same this will ensure that the network license(s) will find the shopfront without having to re-connect.
  17. Share the RetailM folder. For more information follow the instructions for networking your computer in Setting up RetailManager on a Windows 7 network.
