Setting up an apprentice employee so hours are accumulated involves setting pay codes and accumulators, and finally adjusting the Employment Details tab.

  1. Go to the Maintenance command centre and click Maintain Pay Codes.
  2. Click the ORD (Ordinary Time) pay code (or whatever pay code is being used to record the number of apprentice hours).
  3. Click the Accumulators tab.
  4. Select the option Accumulate quantities to apprentice hours. All the hours, in other words any quantities paid for pay codes defined to accumulate into apprentice hours, will now be added to the apprentice hours total for that employee.
  5. Go back to the Maintenance command centre and click Maintain Employees, select the required employee.
  6. Click the Employment Details tab.
  7. Select the option Apprentice Hours accumulated to date and enter a balance if required.
  8. The accumulated balance will appear on the employees' payslips and continue to increase as pays are processed.
  9. Reporting on apprentice hours can be carried out by going to the Reports menu and choosing Apprentice Hours.
