You can schedule backups of your database and critical configuration files to be done at a regular periods that is convenient to your practice. It is recommended that you choose a time when there is minimal use of the system, for example, overnight or early morning. By default, your backups are set to run at 1pm on weekdays. You can change this if you prefer, but be aware your computer must be on at the scheduled time or the backup will not be able to run.

You can change the details on a scheduled backup when necessary using the same procedure to schedule the backup in the first place.

You can nominate the number of scheduled backup files to keep. Once you exceed this number the oldest one is deleted.

  1. Select Maintenance > Backup > Schedule Backups on the main menu. The Schedule backups window opens. The Perform scheduled backups checkbox is automatically selected by default. The Products to back up: field automatically lists the products installed on your system that will be backed up.

  2. Enter the Backup location.

    Click the ellipse button on the Backup location field. The Browse For Folder window opens.

    1. Find and select the location for the backup or click Make New Folder.

    2. Click OK. The Browse For Folder window closes. The location of the backup is reflected in the Backup location field.

  3. If you do not have write access to the location you want to back up to, click the Edit user details button. The Edit user details window opens.

    1. Enter the User Name and Password of the user that has write access to the selected backup location. Ensure that you include the domain name, work group or computer. If your access details are correct and you click the Edit user details button, a message will be displayed informing you that your details are not required.

    2. Click OK. The Edit user details window closes.

  4. Select when the backup will occur from the Back up every drop-down. You can choose to back up each day or every weekday or on a certain day of the week.

  5. Enter or select the time when the backup will occur from the time field using the up and down arrows. A 12-hour clock is used.

    1. Select the first two digits which represent the hour and enter the time or use the arrows to select the hour.

    2. Select the second two digits which represent the minutes and enter the minutes or use the arrows to select the minutes.

    3. Select the next field which can be AM or PM.

      The default scheduled back up time is 1:00pm.

  6. Specify how many scheduled backups are to kept in a certain backup location in the Keep the last x scheduled backups in the specified backup location (where x is the number you enter).
    The value you enter here depends on your storage facilities. The recommend number of scheduled backups that can be kept is between 5 and 20.
    A warning message is displayed if the number is not between this range. Click OK and correct the number.

  7. Click Schedule. The scheduled backup runs in the background. An entry is recorded in View backup history for each scheduled backup.

If the last two scheduled backups have failed a warning message is displayed when you log on to the workstation or the server. In MYOB AE, this is provided you have been allocated the permission; To configure backup permissions Correct any failures to ensure future successful back ups of your database.

  1. Select Maintenance > Backup > Schedule Backups on the main menu. The Schedule backups window opens.
  2. Untick Perform scheduled backups. The Edit user details window appears.
  3. Select Specify Windows user or Specify SQL Server user and enter the User name and Password. Click OK.
  4. Click Schedule.

You've now unscheduled the backup.
