Field | Description |
Salutation | This is the greeting used to refer to the client, contact or supplier in any documents. |
Addressee | The name of the person to whom correspondence is addressed. |
Address, Phone, Fax, Mobile and Email | Displays the primary address and contact details as defined on the Addresses tab. To edit any fields, click the Edit hyperlink to access the information on the Addresses tab from where the information can be edited. |
Family Group | This field is only available on for clients and contacts. To change the default Family Group, click the magnifying glass button to open the Find Family Group window to search and select a different Family Group. |
Copy to clipboard  | Copies the address to the clipboard. It is displayed beside the Address field only when an address is available. |
Aliases | Aliases are other names that your client, contact or (AE) suppliers may be known by (e.g., a business name or trading name). Aliases can be used as alternative search criteria when searching for clients, contacts or suppliers. (AE) Alias types are defined by your system administrator. See Aliases for more information. |
Notes | Double-click a note to open it. The contents of the note will be displayed in the Notes page. The note can be edited if required. To add a new note, click the blank line at the top of the table and add a new title and select a date. Formatting options are available on the Notes page. Highlight a note in the list and press [Delete] to remove it. See Notes on the Main tab for more information. |
Created By | This field displays the employee who created the client, contact or supplier and is entered automatically by the system. |
B/Supplier (AE) | This field is only available for suppliers. This is the date when the supplier Became a Supplier for your business. The date is recorded using the system date when the supplier was created. It is usually the same as the Date Created date, but it could differ if a contact was converted to a supplier after they were created as a contact. Use the drop-down arrow to access the calendar and select a different date if necessary. |
D/Created | This field displays the date the client, contact or (AE) supplier was created, using the automatic system date. |
Birth Place | This field is only available if the client, contact or (AE) supplier is a person. |
D.O.B (Date of birth) | Enter the date of birth in the format dd/mm/yyyy or select it from the drop-down calendar. This field is only available if the client, contact or (AE) supplier is a person. |
D.O.D (Date of death) | Enter the date of death in the format dd/mm/yyyy or select it from the drop-down calendar. This field is only available if the deceased client, contact or (AE) supplier was a person. |
B/Client (Became Client) | This is recorded using the system date when the client was created. This will usually be the same as the Date Created date, but it could differ if a contact was converted to a client after being a contact. Enter the date that they became a client in the format dd/mm/yyyy or select it from the drop-down calendar. |
Year End | A memo field to remind you of the client’s year end date. Enter the Year End date in the format dd/mm/yyyy or select it from the drop-down calendar. This is only available on the Client page. |
Tax Type | Select the tax rate that applies to the client. This setting determines the default tax rate applied to the client’s bills. (AO) This is only available on the Client page. |
Tax Client (AO) | This is only available on the Client page. If the Tax Client checkbox is ticked, it indicates that the client requires a tax return to be lodged. (Australia) If the Tax Client checkbox is ticked and there are no tax returns for this client yet, a tax return for the current year with a status of Not Started is shown on the Tax Returns tab for this client. |
Credit Limit (AO) | Enter the absolute credit limit value for the client’s account. This can then be used as a warning if a client exceeds this level of credit and work is still being done for them. This is only available on the Client page. |
Payment Terms (AO) | Select the client’s default payment method. This affects the description on the remittance advice section of the Bank Deposit Slip document. This is used to calculate the payment due date on bills raised for the client. The available options are: Days — enter the number of days from the invoice date when the payment is due. For example, if you enter ‘14’ and the invoice date is 2nd May, then the payment date will be calculated as 16th May. Month End Days — if payments are expected in the month following the billing month, enter the number of days after the invoice month-end when payment is due. For example, if you enter ‘14’ and the invoice date is 2nd of May, then the payment date will be calculated as 14th of June. Payment Day — select this option if you want the payment due date to be on a specific day each month. None — select this option if you do not want a payment day calculated for the client.

ACN (Australia) | Enter client’s Australian Company Number. This field is only displayed for client records |
TFN (Australia) | Enter the client’s tax file number. This field is only displayed for client records. |
NZBN (New Zealand) | Enter the client’s New Zealand Business Number. This field is only displayed for client records. |
IRD Number (New Zealand) | Enter the client’s Inland Revenue Department Number. This field is only displayed for client records. |
Balance Month (New Zealand) | Enter the client’s Balance Month. |
