Depending on how many contacts you’ve got, there are several ways of finding the one you’re looking for. You can search for a contact, filter the contacts list to show only the most relevant contacts, and sort the list to show the most relevant contacts first.

Searching for a contact

To search for a contact, enter all or part of their business name, first name, last name, phone number, mobile number or email address in the Search box at the top of the contacts list.

As you type, the list will be automatically updated to only display contacts that match your search term.

Filtering the contacts list

You can filter the contacts list to display only the type of contacts you require. Use the dropdown to select the type of contacts you want to show.

Choose:

  • Active to show all active contacts, of any type. This is the default view.
  • All contacts to show contacts of all types, both active and inactive.
  • Customers to show only active contacts you’ve marked as customers
  • Suppliers to show only active contacts you’re marked as suppliers.
  • Other to show only active contacts you’ve marked as other.
  • Inactive to display all inactive contacts, of any type.

Note that contacts you’ve marked ‘Customer & Supplier’ will be shown in both the Customers and Suppliers views of the list. For more information about contact types, see Contact types.

Sorting the contacts list

You can use the columns in the contacts list to sort the information in the most relevant way for what you’re looking for. Just click on the column heading, and the list will be sorted in alphabetical (or numerical) order, based on the entries in that column. If you click the column heading again, the list will be sorted in reverse order.

For example, you might want to find the details of a contact whose surname starts with ‘Z’. Just click the Last name column heading twice, and the list will be sorted in reverse alphabetical order by the contacts’ last name. Contacts whose last name starts with ‘Z’ will appear at the top.

You might also want to arrange your contacts in order of where they are located. In this case, it might be useful to click the Phone column heading to sort based on the area codes in their phone numbers.
