From the Items page, you can create, edit and delete items (or, make them inactive).

You can also create items as you’re creating invoices and bills. For more information see To create an invoice and To create a bill.

Before you start creating items, consider using a naming method for item numbers and item names, so that similar items are sorted together.

Importing items

If you use MYOB BusinessBasics or a product from the MYOB AccountRight range, you can import your items into MYOB Essentials. For more information see Importing items into MYOB Essentials.

If you don’t yet know all the details of the item you’re creating, or you need to create it quickly, you can start by entering only the required details—the Item nameItem numberAllocate to and Tax Rate (Australia) or GST Type (New Zealand) fields. You can add the other details later.

  1. On the Items page, click Create Item. The Item page appears.
  2. Complete the fields in the first section:
    1. Item name—enter a short item name.
    2. Item number—enter an item number.
    3. Unit of measure—enter a unit of measure for the item (Qty or Hours).
    4. Description for invoices and bills—enter a detailed item description, for use on invoices and bills. Note that if you leave this field blank, the Item name will be used as the description.
  3. Complete the fields in the Selling Details section:
    1. Sell Price—enter the price of the item, excluding tax or GST.
    2. Allocate to—select the account to which you want sales of this item allocated.
    3. Tax Rate or GST Type—select the tax rate (Australia) or GST type (New Zealand) to be applied when selling this item.
    4. Unit of measure—select whether the item is sold as a quantity or as a number of hours.
    5. Unit description—enter more details about the unit of measure.
  4. Complete the fields in the Buying Details section:
    1. Buy Price—enter the cost of the item, excluding tax or GST.
    2. Allocate to—select the account to which you want purchases of this item allocated.
    3. Tax Rate or GST Type—select the tax rate (Australia) or GST type (New Zealand) to be applied when purchasing this item.
  5. Click Save to save your item details.

Inactive items

Any items you’ve previously made inactive (by clicking Make inactive in the Item page), will be greyed out in the items list.

  1. In the items list, find the item you want to edit and click it. The Item page appears, showing the item details.
  2. Make any changes to the item.
  3. Click Save to save your changes. The Items page reappears.
To delete an item

To delete an item

When you delete items, they’re removed along with all their details. Instead of deleting items, we recommend that you make them inactive. Inactive items are removed from reports and some selection lists, but retain details you may need some day. For more information see To make an item inactive.

You can’t delete items that have been used in transactions. However, you can make these items inactive. For more information, see To make an item inactive.

  1. In the items list, click the item you want to delete. The Item page appears, showing the item details.
  2. Click Delete. A confirmation message appears. If the Delete button is inactive it means the item has been used in a transaction and can't be deleted.
  3. Click OK to delete the item.

When you make items inactive, they’re removed from reports and some selection lists. Inactive items retain details you may need some day. This is in contrast to deleted items, which are removed along with all their details. For more information see To delete an item.

Inactive items are removed from the items list.

You can make an inactive item active again at any time by editing the item in the Item page and clicking Make active.

  1. In the items list, find the item you want to make inactive and double-click it. The Item window appears, showing the item details.
  2. Click Make inactive to save the item as inactive.
    The Items page reappears.

How do I work out an item's sell price excluding GST?

If you know the final sell price for an item (GST inclusive), here's how to work out the GST exclusive price:

In Australia

GST inclusive price - (GST inclusive price ÷ 11)

For example, if the GST inclusive price is $220:

$220 - $20 = $200

In New Zealand

GST inclusive price - (GST inclusive price x 3 ÷ 23)

For example, if the GST inclusive price is $230:

$230 - $30 = $200
