This topic is not applicable if your company file is stored online.

After a company file is activated, you'll need to confirm the file regularly to ensure you're using a licensed product. You'll also need to confirm your company file if you upgrade to the new AccountRight.

Unable to confirm after upgrading to the new AccountRight?

If your file has been activated with someone else’s serial number (such as your accountant’s) or with a serial number for a company that you've registered, but you didn't nominate to use with the new AccountRight, then you'll need to change the serial number in your company file. It's easy to do. Open the file in your new AccountRight software, go to the Help menu, choose Change Serial Number and enter the serial number for your AccountRight subscription. Confirmation verifies to MYOB that you're running a legal installation of AccountRight. When confirmation is due and you attempt to open an activated company file, the Company File Confirmation window appears.

You have a period of grace in which to confirm the company file, indicated in this window.

If you don’t want to confirm immediately, select the Confirm Later option and click Next to open the file. After the period of grace expires, the company file can be opened only in read-only mode, in which you can still view transactions, print reports or export data, but won't be able to enter any transactions.

Confirming a read-only file

If you open a company file that's overdue for confirmation in read-only mode, but then change your mind, go to the Help menu and choose Confirm Company File. The Confirmation Assistant window appears.

These procedures show you how to confirm an activated company file and set up automatic confirmation:

  1. Ensure you're connected to the internet.
  2. In the Confirmation Assistant window, click I use this company file to record or edit my business transactions.
  3. Select the Confirm Online confirmation option.
  4. Click Next. Your serial number and company file code are sent to the MYOB confirmation server, which returns a confirmation code and extends the file activation.
    The Conclusion step of the assistant appears.
  5. Click Close. The company file has been confirmed and you can continue to enter transactions.
To confirm a company file by telephone

Use this method only if you can't connect to the internet.

  1. In the Company File Confirmation window, click I use this company file to record or edit my business transactions.
  2. Select the Confirm by Phone confirmation option.
  3. Click Next. The Confirm by Phone step of the assistant appears.
  4. Call the telephone number displayed in this step of the assistant. You'll need to provide the details shown in this window.
  5. A licence file will be emailed to you. When you receive the email, detach the licence file.
  6. In the Confirm by Phone step of the Confirmation Assistant, click Browse and then select the licence file you received.
  7. Click Confirm. The Conclusion step of the assistant appears.

    Confirmation code used only once
    After you confirm your company file, the confirmation code cannot be used to confirm this or any other company file again. You must get a new confirmation code each time you're prompted to confirm.

  8. If you have an internet connection and you prefer to perform subsequent confirmations automatically, select the I want to use Automatic Confirmation option.

  9. Click Close. The company file has been confirmed and you can continue to enter transactions.

You can confirm company files over the internet automatically.

  1. Open your company file.
  2. Go to the Setup menu and choose Preferences.
  3. In the Preferences window, click the Security tab.
  4. Select the I Prefer to Use Automated Online Company File Confirmation option and click OK.

From now on, your company file is confirmed automatically and a notification of successful confirmation is displayed each time.

Yes, this is fine. Providing the client's company file has been activated with their serial number, you can confirm it.

What happens if I don't confirm a company file within the required period?

What happens if I don't confirm a company file within the required period?

If you don’t confirm the file within the time period allowed, the company file will become read-only. This means you can still view your business information, print reports and export data, but you won't be able to enter new transactions or make changes to information.

If you want to continue entering transactions in the company file, you need to confirm the file.

Once you have activated your company file, you should only be prompted to confirm it once a month. If you are being frequently prompted to confirm a file, it may be for one of the following reasons:

  • You open your company file on computers with different system dates. This might happen if:
    • you move your company file between computers (for example, between the office and home).
    • you access your company file over a network, and the computers in the network have different system dates.
    • you frequently change the system date on your computer.
  • You provide your company file to your bookkeeper or accountant for them to enter transactions at end-of-period. They may be prompted to confirm the company file each time they open it and this could be several times in a short period.
  • You keep restoring a company file that requires confirmation.

If you confirm a company file too often, a confirmation limit can be reached and all your company files will become locked. If this occurs, you need to contact MYOB Support on 1300 555 151 (Australia) or 0800 60 69 62 (New Zealand) to resolve the issue.

You can minimise the chances of reaching your confirmation limit by doing some of the following:

  • Avoid changing the system date on your computer.
  • Switch off automatic file confirmation so that you will know if you are being asked to confirm your file too often. This gives you a chance to deal with the problem before it occurs.
  • Synchronise the system dates of the computers that you share the company file across. This may only be viable if the computers are in the same location.
  • Avoid moving your file between computers altogether, or install your software on a laptop, making your company file more portable.
  • Ask your accountant or bookkeeper to report frequent confirmation requests.
  • If your accountant or bookkeeper only requires your company file for a short period, ask them to select the ‘Confirm later’ option when prompted.

To ensure that non-registered users cannot backdate the computer’s system data to avoid the activation process, confirmation will be required for all company files that are opened after changing the computer’s system date.

You may have typed the confirmation code you were given incorrectly.

  • Re-enter the confirmation code. Make sure you only use numeric characters.
  • In the event you have written the code down incorrectly, you will need to get a new confirmation code. Close and re-open the file, then complete the confirmation process again.
