When the form has passed validation, the process of approving the return involves several stages:

  • Finalise the return, so that the ATO can validate the return
  • Request a signature from the client
  • Mark as signed when the client approves the return
  • Lodge the return with the ATO for assessment.

Each stage has options that become available for actions, which can be selected in the Finalise button at the top right.

Under each return listed on the Tax page is a note that shows the status during the approval process. When you initially create a return, the status is shown as "In progress". When you send a return for approval, the status changes depending on the stage of the approval process. The approval of returns goes through the following stages.

Finalising a return
  1. Click on the Finalise button at the top right of the form.
    The button changes to Finalising... This indicates that the return is being sent to the ATO for validation.
    When the return has been sent, the message "Return has been sent to the ATO for validation" appears at the top of the form.

    If the return is rejected by the ATO, the message "ATO has rejected the return" appears at the top of the form. There will be a list of validation messages that show why the return was rejected. You need to go back to the form and edit those labels to correct the errors.

  2. Click on the Edit button at the top right of the form to correct the validation messages.
    When you have completed all labels that the ATO identified as needing corrections, finalise the return again for the ATO to validate the return.
Requesting a signature
  1. Click on the Request signature button at the top right.

    To request a signature from a client, there are two options depending on whether a Client Portal exists:

    • client has a Client Portal set up – request a signature
    • client does not have a Client Portal – manually request a signature.
  2. If the client does not have a Client Portal, either:
    • click Cancel and set up a Client Portal
    • manually request a signature.
  3. If the client has a Client Portal set up, complete the following fields in the Request signature dialog:
    • Assign to – this is the name of the contact person at your client's business
    • Title – this is a subject line that can include the type of BAS form and period
    • Description – a message that requests a review and signature from the client. This is pre-filled with default text that includes the details of the return – you can edit this text if you want to.
    • Due date.

Requesting a digital signature

  1. Click Request signature at the bottom of the dialog.
    This sends the return to the client. The message "Return has been successfully sent to the client for signature" displays at the top of the form.
  2. Click close (X) at the right of the message.
  3. When you receive the signed return from the client, the message "Signature received. Return is ready to lodge" displays at the top of the form.

Requesting a manual signature

  1. Click I want to manually request a signature at the bottom of the dialog.
    The message "This return has been sent for manual signature. When you receive the signed return, click on Mark as signed" displays at the top of the form.
  2. Click close (X) at the right of the message.
  3. Click Download at the top of the form.
    This creates a PDF of the return. Save the PDF to your computer.
  4. Send the PDF to your client by either email or post, or by handing it directly to them.
    Request the client to review, sign and send the return to you.
  5. Click Mark as signed at the top right.
  6. Click Request manual signature at the bottom of the dialog.
    This changes the status to Pending signature to show that you've sent the return to the client.
    The message "Return has been sent to the client for manual signature. When you receive the signed return, click on the Mark as signed button" displays at the top of the form.
  7. Click close (X) at the right of the message.
Client reviews and signs the return

Digital signature

The client receives a notification in their Client Portal to approve their return.

  1. In the Tasks page the client opens the PDF in the task and reviews the return.

  2. The client either accepts or rejects the return and adds comments.

  3. You receive notification in the Tasks page as to whether the return needs further editing.

  4. If the client rejected the return, you need to edit the return by clicking on the client's return in the Tax page.

Manual signature

  1. The client signs the return and sends it to you with comments.

  2. If the client rejected the return, you need to edit the return by clicking on the client's return in the Tax page.

Lodging the return

When the Lodge dialog displays:

  1. To make final checks, click on Cancel at the bottom of the dialog.
  2. To lodge the return, click on the Lodge button at the bottom of the dialog.

The button changes to Lodging... This indicates that the return is being sent to the ATO.

When the return has been sent, the message "Activity statement has been lodged with the ATO" appears at the top of the form.

  1. Click on the close button (X) at the right of the message.
  2. If the ATO rejects the return, the message "ATO has rejected this Activity Statement" appears at the top of the form.

Return rejected

A list of validation messages appears to show what labels need to be edited so that you can lodge the return again.

Return approved

When the ATO accepts the return, the message "ATO has accepted this Activity Statement" appears at the top of the form.
