Any documents that you've published to the portal and/or have been approved by your clients, can remain in the portal.

If you have Document Manager

Any digitally signed documents, originally published from Document Manager on your desktop to your portal are automatically saved in PDF format to Document Manager as a new version of the original document. The physical document remains online in your portal and only a link exists on your desktop MYOB AE or MYOB AO to the online version in the portal.

This will only occur for any documents that are digitally signed after you've installed the desktop release MYOB 2015.2 for Australian clients or MYOB 2015.3 for New Zealand clients.

  

Viewing a digitally signed document within Document Manager

Click on the document version.

A  icon in front of the document identifies it as a digitally signed document that's linked to the online version in your portal.

A message is displayed letting you know that your document is being retrieved from your portal.

If you try to view a linked document that has been deleted from the portal, you'll get a message letting you know that the document has been deleted from the portal.

Deleting a task or document from your portal that is linked to a Document Manager file

If you try to delete a task or document from your portal that has been linked to your desktop MYOB AE or MYOB AO, you'll permanently delete the document or task as well as permanently removing the linked digitally signed document version in your desktop Document Manager.

The original document version that was published to the portal remains in Document Manager untouched.

Deleting a digitally signed document in Document Manager

If you try to delete a version of the document in Document Manager that is linked to a digitally signed document in your portal, only the link to the online document will be removed. The digitally signed document will remain untouched in your portal.

Creating a new version from an online linked document

You're able to create a new version from the digitally approved version which is linked to the one in your portal. A copy of the online document is downloaded to your desktop so that a new version can be created from it in Document Manager.

If you don't have Document Manager

To download a copy of a digitally signed document:

  1. Select Download from the Action button associated with the document on the Documents page of your portal.
    The document is downloaded in PDF format.
  2. Save the document to your client's document directory.
