Adding schedules to assignments—other* modes

Accountants Enterprise with Practice Manager only

* The following information is valid only for the Assignments, Schedules and Jobs or Assignments, Schedules, Jobs and Job Time Recording job modes.

If a schedule template has been added to the selected assignment template, a schedule is created and added to the assignment using the schedule template details.

If no schedule template is associated with an assignment template, a job is created and added to the assignment.

A schedule specifies the start and end date of the work to be performed. Schedules are usually cyclical because the nature of the work involved in them can be repeated time and time again for the same client or another client.

When specifying the start and end dates, consider deadline dates that could be involved. The dates are used as the basis for calculating the default project start and end date from the offset dates defined in the schedule template.

To add a schedule to an assignment
  1. Find and open the client. See Finding and opening clients and contacts. The Client page opens.
  2. Click the Assignments tab. All existing assignments are listed.

  3. Right-click the assignment you want to add the schedule to and select Add Job.

    If a schedule template has been detected for the chosen assignment, a schedule is created. If no schedule template has been detected for the assignment, a job will be created.

    The Add Job/Schedule window opens. The Assignment Responsibility  information will not be made available as it is only applicable when adding new assignments to clients.

  4. Enter details for the Description of the schedule.

  5. Enter the Start Date and End Date. Enter the date in the format dd/mm/yyyy or select it from the drop-down calendar.

    You will not be able to change the schedule stage details. Once the assignment and schedule have been created you have the option of editing the schedule details on the Assignment Details page > Schedule tab.

    The responsibility details are not available on this window as they are only applicable when adding new assignments to clients.

  6. Click Finish. The client page > Assignments tab opens with the newly created schedule attached to the assignment.

To edit a schedule

You can access a schedule for editing through the following windows:

  • Client page > Assignments tab or the Find Assignment window.

  • Job Sheet homepage.

Click the Schedule hyperlink on either of these windows to open the Assignment Details page > Schedule tab where you can edit the schedule.

To delete a schedule from an assignment
  1. Double-click the schedule on the client page > Assignments tab. The Assignment Details page opens on the Main tab by default.

  2. Click the Schedule tab.

  3. Highlight the row containing the Schedule you want to delete.

  4. Press [Delete].

  5. Click Yes to delete the schedule.

  6. Click OK to close the Assignment Details page.

    A schedule which has WIP entries posted against it cannot be deleted. A Delete Failed message is displayed.

To edit a job
  1. Open the assignment that has the job you want to edit. See Finding and opening assignments.

  2. On the client page > Assignments tab or the Find Assignment window, click the job hyperlink you want to edit.

  3. Edit the details as required.

    Your ability to edit job details will depend on the permissions assigned to you.

  4. Click OK to save and close the assignment.

To delete a job

Job details can only be deleted from the client page > Assignments tab.

Your ability to delete a job will depend on the permissions assigned to you.

  1. Open the assignment that has the job you want to delete. See Finding and opening assignments.

  2. Right-click the job you want to delete and select Remove Job.

    or

    Select the job to be deleted and press [Delete].

    You will only be able to delete a job from a client if the job does not have any WIP associated to the job or Bills associated to the job.

  3. The Confirm Job Deletion window opens to prompt you to confirm the deletion.

  4. Click Yes to confirm and close the window. The job is deleted.
