Creating and removing billing groups/grouping clients for billing

MYOB Practice Manager lets you group clients together for billing and reporting by setting up Billing Groups. These billing groups which are comprised of one parent and at least one corresponding child client.

You can bill directly at the parent level or, if you wish to be able to see any bills generated for the child on the child account, you can also bill at the child level.

 

The WIP of the child and the parent is recorded against the client code entered during timesheet data entry.

 

Billing groups are viewed, created and maintained through the Billing Group tab on the client page. In MYOB AE, it’s also done in the Group tab on the Assignment Details page (AE).

From these you can see any child clients attached to the selected client or assignment (AE)/job (AO) or view the parent client or assignment/job. Billing groups can also used for reporting purposes.

Creating billing groups of clients or assignments/jobs allows for more than one client’s WIP to be included on the one bill.

To setup groups you can either:

  • enter into the parent client and add the child clients, or
  • enter into the child clients and add the parent client from within the Billing Group tab of the client.

In MYOB AE, if you do not want to set up a billing group, you can add a client assignment/job, if required, by selecting Add Assignment /  Add Assignment to Client or Add Jobs / Add Jobs to Client in the Bill Amounts window.

To create a billing group
  1. Open the client page for the client who is to be the parent client in the billing group.

    (AE) If you want to create an assignment billing group, open the Assignment Details page for the assignment which is to be the parent.

  2. Click the Billing Group or Group tab (AE).

  3. Click Add under the Child Clients or Child Assignments (AE) area. The Find Clients or Find Assignments (AE) window opens.

  4. In the Search For field, enter the name (or part thereof) of the client or assignment that you want to find.

  5. Press [Enter]. Records that match your search criteria will be returned.

  6. Click the client or assignment that is to be the child client and click OK. You will be returned to the Billing Group or Group tab and the child is listed in the Child area.

  7. Repeat step 3 to step 6 to add further children. You can double–click a client or assignment in the Billing Group or Group tab to open the corresponding Client or Assignment Details page.

    You can also do this in reverse and add a parent through the child’s Billing Group or Group tab.

To view a billing group
  1. Open the client page for one of the clients in the billing group.

    (AE) If you want to view an assignment billing group, open the Assignment Details page for one of the assignments in the group.

  2. Click the Billing Group or Group (AE) tab.

    If the client is a child client (or assignment in MYOB AE) you will see the parent listed in the Parent Client area (or Parent Assignment area in MYOB AE).

    If the client is a parent client (or assignment) you will see the children listed in the Child Clients area (or Child Assignments area in MYOB AE).

  3. Double–click a client or assignment in the Billing Group or Group tab to open the corresponding Client or Assignment Details page.

To remove a client or assignment (AE) from a billing group
  1. Open the client page for one of the clients in the billing group.

    (AE) If you want to delete an assignment billing group, open the Assignment Details page for one of the assignments.

  2. Click the Billing Group or Group (AE) tab.

  3. To remove a child from a group:

    1. Select the child in the Child Clients or Child Assignments (AE) area.

    2. Click Delete under the list of children. A Delete child confirmation message is displayed.

    3. Click Yes. The child is removed from the list.

  4. To delete a parent from a child:

    1. Select the parent in the Parent Client or Parent Assignment (AE) area of the page.

    2. Click Delete under the list of parents. A Delete parent confirmation message is displayed.

    3. Click Yes. The parent is removed from the list.

      You can also do this in reverse and delete from either the parent’s Billing Group or Group tab or the child’s Billing Group or Group tab and the result will flow through to the other record.
