Step 5—Associated contacts

Details entered in Step 5Associated Contacts are transferred to the Associated tab.

One important association to set up is the contact’s bank. This information is needed to complete Step 6 of the Wizard.

You can enter contacts to associate with the contact type by:

  • creating an association to an existing contact whose details are already in the database.

  • creating an association to a new contact whose details are not in the database.

To associate a new contact type with an existing contact
  1. Complete the mandatory steps in Step 1—Personal details and responsibility and Step 2—Extra details.

  2. Click the Associated tab on the Wizard if it is not already selected. Step 5 — Associated Contacts is displayed.

  3. Click Add. This will add a relationship to a contact that already exists in the database. The Associate Existing Contact window opens.

  4. Select a Relationships type from the table that applies to the association you want to add. The selected relationship is displayed in the Relationship field.

  5. Find and select the Contact.

  6. Click the magnifying glass button in the Contacts field. The Find Contacts window opens.

  7. Enter the name or part of the name of the contact in the Search for field.

  8. Click Search or press [Enter]. The search results are listed.

  9. Select the required contact from the displayed list.

  10. Click OK. The Find Contacts window closes. The selected contact is displayed in the Contacts field in the Associate Existing Contact window.

  11. Enter the Start Date of the association. Enter the date in the format dd/mm/yyyy or select it from the drop-down calendar.

  12. Enter the End Date of the association, if required. Enter the date in the format dd/mm/yyyy or select it from the drop-down calendar.

  13. Click OK. The Associate Existing Contact window closes. The new association is displayed in Step 5— Associated Contacts.

  14. To complete creating the contact type, click Finish. The wizard closes and the Client/Contact/Supplier page is displayed for the new contact type.

  15. Click through the tabs to check, add or edit information.

    This is the final step for creating a contact.

     

    Alternatively, to continue entering details for the contact type using the Wizard, click Next.

  16. Proceed to Step 6—Defaults to add the contact type’s payment and bank details.

To associate a new contact type with a new contact
  1. Complete the mandatory steps in Step 1—Personal details and responsibility and Step 2—Extra details.

  2. Click the Associated tab on the Wizard if it is not already selected. Step 5—Associated Contacts is displayed.

  3. Click Add new to enter details of a new related contact (i.e., one that does not currently exist in the database). The Associate New Contact window opens.

  4. Select a relationship that applies to the contact you want to add from the Relationship table. The selected option is displayed in the Relationship field.

  5. Enter the Start Date of the association. Enter the date in the format dd/mm/yyyy or select it from the drop-down calendar.

  6. Enter the End Date of the association, if required. Enter the date in the format dd/mm/yyyy or select it from the drop-down calendar.

  7. Enter the details of the person in your practice who will be responsible for the new contact for the contact type in the Partner, Department, Office and Company fields using the drop-downs.

  8. If the association is a person, select the Type to be Person. The selection is reflected in the Contact Type field. The Associate New Contact window changes to include only fields relevant to the person. Select and/or enter the information for the person association:

    • Gender

    • Title

    • First, Middle and Last name

    • Suffix

    • Salutation

    • Mailing Name

    • Initials

  9. If the association is an organisation, select the Type to be Organisation. The selection is reflected in the Contact Type field. The Associate New Contact window changes to include only fields relevant to the organisation. Select and/or enter the information for the organisation association:

    • Pre Name

    • Main

    • Salutation

    • Mailing Name

  10. Click OK. This will save the details and close the window. The new association is listed in Step 5 — Associated Contacts.

    When you use Add new to create an association, the new contact is added to the database as a Contact. You can then click their name in the Associated tab or search for them and fill in the details in their Contact page as you would with any other contact. You can convert the new contact into a client or supplier, if required.

  11. To complete creating the contact type, click Finish. The wizard closes and the Client/Contact/Supplier page is displayed for the new contact type.

  12. Click through the tabs to check, add or edit information.

    This is the final step for creating a contact.

  13. Alternatively, to continue entering details for the contact type using the Wizard, click Next.

  14. To proceed to Step 6—Defaults to add the contact type’s payment and bank details.
