MYOB AO Classic install guide—2019.0 (Australia)

Release date—4 July 2019

Read through this install guide before you start installing the update. It will help you plan the tasks required.

Prerequisites
  • Ensure you have version 17.0.3 or later installed on your network, terminal server or standalone computer.
  • Download the MYOB AO Classic 2019.0 (17.0.8) - Update file from my.MYOB.
  • Backing up my AO Classic data.
  • Check that your computer meets the system requirements.
  • Ensure everyone's logged out of all MYOB programs.
  • Don't start MYOB AO Classic on other workstations during the installation otherwise your data files may become corrupt. The upgrade of AO Classic requires exclusive access to your data files.
  • Disable your antivirus. Reenable when you've finished the installation process.
  • Disable User Accounts Control (UAC) on the workstation, if you are installing from:
    • a Windows 8 workstation
    • the server from a Windows 8 workstation
    • a Windows 8 workstation running terminal server.
  • You'll find the UAC in the Control Panel. Reenable UAC when you've finished the installation process.
  • Determine which installation instructions are applicable to your practice:
    • network
    • stand-alone
    • terminal servers.
To install AO Classic

If you have any issues in Windows 10, ensure you've Disabling User Account Control (UAC).


Follow the relevant instructions for network installation, standalone installation or terminal server installation:

Network installation

To update your network installation, complete the following three tasks in order:

Task 1—install the update on the server from a workstation

You must install the update on your server before you install it on workstations.

  1. Log on to the workstation that has AO Classic installed.

    If your computer has security rights enabled, log on as administrator.

  2. Confirm that everyone on your network has exited AO Classic.

    Don't open AO Classic on other workstations during the installation. The upgrade of AO Classic requires exclusive access to your data files. Your data files may become corrupted if AO Classic is started on another workstation during installation.

  3. Locate and double-click the downloaded .exe file.

  4. Review the release notes from the link.
  5. Click Next. The setup window opens with a message "Setup will now update your MYOB Accountants Office files. Please do not attempt to start any other program".

  6. Click OK. When the installation completes, a window opens with a message "Setup has now finished updating MYOB AO Classic".
  7. Click OK.
Task 2—update workstations

After you have installed the update on your server:

  1. Log on to a workstation that has MYOB AO Classic installed.

    If your computer has security rights enabled, log on as administrator.

    Don't open AO Classic on other workstations during the installation. The upgrade of AO Classic requires exclusive access to your data files. Your data files may become corrupted if AO Classic is started on another workstation during installation.

  2. Disable any antivirus programs running on the workstation.

  3. Go to Start > All Programs > MYOB > Update Accountants Office. The InstallShield wizard window opens.

    If you see an Open File Security or User Account Control warning message, click Run or Allow.

  4. Click OK. The update to the MYOB AO Classic files begins.

  5. Repeat these steps on all workstations that have MYOB AO Classic.

    To save time, after you start running the InstallShield update on one workstation, repeat these steps on the next workstation. You don't have to wait for one update to finish before moving on to the next workstation.
Task 3—reindex your databases

You must reindex your databases before you can use MYOB AO Classic.

  1. Log on to a workstation that has MYOB AO Classic installed.

    If your computer has security rights enabled, log on as administrator.
  2. Start MYOB AO Classic.
  3. Go to File > Housekeeping > Reindex Databases. The Select Modules window opens.
  4. Click Select All.

    Ensure you've taken a backup before completing the next step.

  5. Select the Remove records flagged for deletion checkbox. The deleted records will be permanently removed to help keep your database organised.

  6. Click OK. When the reindexing finishes, the MYOB AO Classic window reopens.

    We recommend that you reindex your databases each month. Reindexing removes errors and help to improve your database performance.

Standalone installation

To update your network installation, complete the following three tasks in order:

Task 1—install the update on the server from a workstation
  1. Log on to your computer.

    If your computer has security rights enabled, log on as administrator.
  2. Locate and double-click the downloaded .exe file.

  3. Review the release notes from the link.
  4. Click Next to start the installation. You'll see the message "Setup will now update your MYOB Accountants Office files".

  5. Click OK. When the install finishes, a window opens with a message "Setup has now finished updating MYOB AO Classic".

  6. Click OK.
Task 2—reindex your databases

You must reindex your databases before you can use MYOB AO Classic.

  1. Log on to a workstation that has MYOB AO Classic installed.

    If your computer has security rights enabled, log on as administrator.
  2. Start MYOB AO Classic.
  3. Go to File > Housekeeping > Reindex Databases. The Select Modules window opens.
  4. Click Select All.

    Ensure you've taken a backup before completing the next step.

Terminal server installation

These instructions apply to Windows 2003 Terminal Server. These instructions may also apply to other terminal server setups. To update your terminal server installation, complete the following two tasks in order:

Task 1—install the update on the server from a workstation
  1. Log on to the terminal server.

    If your computer has security rights enabled, log on as administrator.
  2. Confirm that everyone on your network has exited AO Classic.

  3. Locate and double-click the downloaded .exe file.

  4. Review the release notes from the link.
  5. Click Next to start the installation. You'll see the message "Setup will now update your MYOB Accountants Office files".

  6. Click OK. When the installation completes, you'll see the message "Setup has now finished updating MYOB AO Classic".

  7. Click OK.
Task 2—reindex your databases

  1. Log on to a workstation that has MYOB AO Classic installed.

    If your computer has security rights enabled, log on as administrator.
  2. Start MYOB AO Classic.

Post-installation
Check your version number
  1. Start MYOB AO Classic.
  2. Select Help > About.
  3. Check that MYOB AO Classic version number is 2019.0.
Updating existing client ledgers

After installing the general ledger formats, update existing ledgers to use the new master reports and create new client ledgers based on the updated templates.

Updating the chart of accounts

The report masters in this release use some new account codes, so you need to update the client ledger’s chart using the relevant template.

  1. Open the client ledger you need to update.
  2. Go to General Ledger > Account Utilities > Update Accounts from a Standard. The Update Accounts window opens.
  3. Select a new template that relates to the client entity type you are updating.

    If you haven't yet installed the new templates, or they don't appear in the selection list, see Installing over existing templates.
  4. Click Next.
  5. Deselect Account Description, and leave the other characteristics selected.
  6. Click Next.
  7. Select your Update Options, referring to the table below if necessary.

    Update optionDescription
    Print a list of accounts that exist in the Current Ledger’s Chart of Accounts, but do not exist in the Standard?This list is a useful first step toward comparing the existing options with the new ones.
    Add Accounts that are in the Standard Chart of Accounts, but not in the current ledger?This option adds any accounts from the standard to the current client (e.g., if the corresponding account code doesn't exist).
    • To select which accounts to add, select Pick from List.

    • To add all relevant accounts, select Add automatically.

    Update accounts even where description does not match?This refreshes the account descriptions in the client ledger with those from the standard ledger.
  8. Click Next.

  9. Click Finish.
Updating the Description File Maintenance

Description files are used in most AO Classic financial reports to hold client-specific information. If the description file doesn't exist in the client ledger, an error message displays when a report is run.

To prevent these type of error messages, update the description file from the relevant template client.

  1. Open the client ledger you need to update.
  2. Select General Ledger and click Description File Maintenance.
  3. Click Update from Master and select the template client to update from. For example, for a sole trader, select the 10 Sole Trader Templates.
  4. Click OK. Any descriptions that exist in the template but don't exist in the current ledger are added automatically.
Updating the Notes to the Accounts Report

There are two ways to update your notes:

  • Delete existing notes and implement the MYOB AO Classic Master Notes.
  • Keep any customised notes you've created.

Deleting existing notes

To delete the existing notes report and add the new notes report:

  1. Open the client ledger you need to update.
  2. Select Reports and click Edit Customised Financial Report Definitions. The Edit Customised Financial Report Definitions window opens.
  3. Select the Notes report and press F8.
  4. Confirm that you want to delete the Notes report.
  5. To add a new Notes report, press F4. The Adding a New Customised Report window opens.
  6. Enter 800 in Report ID.
  7. From the Report Type list, select the Notes to the Accounts report.

    The report description is completed automatically, but you can edit it if necessary.
  8. Select Copy an Existing Report.
  9. From the Copy from Ledger list, select the appropriate template ledger for the client (for example, 60 Differential Coy).
  10. From the Report to Copy list, select the Notes to the Accounts report.
  11. Click OK to create the new Notes to the Accounts report.

Keeping existing notes

To keep your existing customised notes:

  1. Open the client ledger you need to update.
  2. Select Reports and click Edit/Process Notes. The Edit/Process Notes window opens.
  3. Click the Notes tab to display all notes in the client ledger.
  4. Select a Master Note (a note which has Master in the source column).
  5. Press F8.
  6. Confirm that you want to delete the master note.
  7. Repeat steps 4 and step 5 for all master notes.

    Only keep customised notes.
  8. Click Process/Update. The Process & Update Notes window opens.
  9. Select Update Notes to the Accounts and select the appropriate Notes Master from the drop-down.

    AO Classic will remember the master notes you select for next time.
  10. Click OK. The Process Notes – Add Notes window opens listing the available notes to add.
  11. Review the applicable notes and, when completed, click Add Notes. The message "Are you sure you want to add the selected Notes?" appears.
  12. Click Yes. A Process Notes – Remove Notes window may open if you have notes that are in the current ledger but not in the Master Notes ledger.
  13. Review the notes to be removed, then click Remove Notes. The message Are you sure you want to remove the selected Notes? appears.
  14. Click Yes. An Updating of Notes window displays the summary of new notes added and notes deleted.
  15. Click OK. A Previewing Notes window processes the available notes and synchronises them with your ledger data. When this process finishes, the Edit/Process Notes window reopens.
  16. Scroll through the list to ensure that the new notes are listed.
Updating the Report Lists

You can start using the financial reports supplied by AO Classic once the chart of accounts has been updated to the MYOB standard chart. To be able to use the reports, update your report lists.

  1. Open the client ledger you need to update.
  2. Select Reports and click Print Financial Reports. The Print Financial Reports wizard opens.
  3. Go to step 2 of the wizard and click Add/Copy.
  4. Select Copy a Report List.
  5. From the Select Entity drop-down, select the relevant template (for example, for a large company select the 23 Large Company Template).

  6. Select the report list you want to copy.

    If you want to select multiple reports, hold down the [Ctrl] on your keyboard while selecting each.
  7. Click Update. The report list updates.
Creating new ledgers

Once existing ledgers have been converted to use the standard templates, you need to ensure all new ledgers created match the templates. This is done by creating a new ledger from the supplied AO Classic templates. To create a ledger using an MYOB template:

  1. Open the general ledger module.
  2. Select Edit and click Add a new ledger.
  3. Select Copy an existing client.
  4. From the Client to Copy drop-down, select the appropriate MYOB template.
  5. Click Add Ledger.

    If you haven't yet installed the new templates, or they're not listed for selection, see Installing over existing templates.
Back up your general ledger data

Your general ledger data must be backed up before performing the bulk account number change. The following explains how to back up and restore an individual client ledger.

Locating your data

  1. Open the individual client ledger you are backing up.
  2. Go to File > Housekeeping > Data Integrity report.
  3. Preview the report. The data path is displayed near the top of the report.

Backing up individual client ledgers

  1. Open the client ledger you want to back up.
  2. Select General Ledger and click Backup Client Data. The Backing up Ledger’s Data files window opens.

    We recommend the zip format option. This will create a zip (compressed) file called MYOBGLBackup-LedgerName-Datetime.zip.
  3. Specify where you want to save this file. For example, to copy to a writeable disk, enter D:\ in the Backup Client Data to field.
  4. Click OK.
Restore from a backup

When restoring a backup of the data folder, ensure you don't overwrite files that you need. Make a copy of the existing files before restoring and label your backups clearly.

Restoring individual client ledgers

  1. Open the ledger you want to restore from a backup.
  2. Select General Ledger and click Restore Client Data from Backup. The Restoring Ledger window opens.
  3. Specify where you are restoring from or click the ellipsis to browse for the location.
  4. Click OK.
  5. When asked to confirm that you want to overwrite the current ledger, click Yes.
Installing over existing templates

We recommend that before you update your templates:We recommend that before you update your templates:

  • delete any existing templates that are no longer required
  • rename the templates that you may need later.

Before you continue:

  • Ensure that you have a current, working backup of your general ledger data.
  • Ensure that all users have exited AO Classic.

 

Locating existing MYOB template ledgers

  1. Start MYOB AO Classic.
  2. Select Help and click About MYOB Accountants Office. The About MYOB Accountants Office window opens.
  3. Click Application Details. The MYOB Accountants Office System Information window opens.
  4. Make a note of the data path.
  5. Click Close.

Deleting existing template ledgers

  1. Start MYOB AO Classic.
  2. Select an existing MYOB Template ledger.
  3. To delete a ledger, select Edit and click Delete Ledger.
  4. Click Yes to confirm.
  5. Close MYOB AO Classic.

Keeping your existing template ledgers

  1. Start MYOB AO Classic.
  2. To add a new ledger, select Edit and click Add New Ledger. The Adding a New Ledger window opens.
  3. Copy an existing ledger and copy one of the existing template ledgers.
  4. Repeat this step for all AO Classic Template ledgers.

Manually rebuilding the MYOB AO Classic data

  1. Close MYOB AO Classic.
  2. Start Windows Explorer.
  3. Navigate to and open your Data folder. For example, M:\MYOBAO\Data. The contents of the folder are displayed.
  4. Select the three files:
    • CADATA.DBC
    • CADATA.DCT
    • CADATA.DCX.

      The .DBC, .DCT and .DCX file extensions might not be displayed.

  5. Delete the three CADATA files.
  6. Start MYOB AO Classic. The data rebuild process begins. This might take some time to complete, depending on the amount of data involved.
  7. Open the General Ledger module. The Select General Ledger window opens.
  8. Check that all the templates are present.

    If not all of your templates are present, call MYOB support on 1300 555 666.

Converting the chart of accounts

To use the general ledger advanced formats, ledgers must be using the standard MYOB chart of accounts. If they're not using the standard chart, you can convert ledgers using the Bulk Account Number Change feature.

This lets you convert a non-standard or customised chart of accounts to a standard MYOB AO Classic chart. You can then use our standard report templates, including the new advanced formats.

Converting the chart of accounts isn't necessary if ledgers are already using the standard MYOB AO Classic chart of accounts.
Enable your antivirus and UAC

If you disabled your antivirus or User Accounts Control (UAC) before installation, enable your antivirus and UAC.
