Inserting an account code or description

How to insert an account code or description field in a practice template
  1. Open the practice template for editing. See Opening a practice template for editing.

  2. Position the mouse cursor in the practice template where the new field is to be inserted.

  3. Click Insert Field on the toolbar.

    or

    Select Insert > Field on the main menu. The Insert Field window opens.

  4. Select Account code or description.

  5. Click OK. The Account Code or Description window opens.

  6. Enter a Field name for the Account Code or Description field. The Field name is automatically filled when the Account Code or Description window opens. You can accept the default or overwrite it. The system will allocate the next sequential number prefixed by a A for account code and description fields.
    If you decide to overwrite the default Field name, then enter a unique Field name. Conditions for the Field name:
    • It is limited to a maximum of 30 alphanumeric characters.

    • It must not start with a number, as this affects the calculations.

    • It must not contain any spaces.

    • It may contain an underscore as part of the name.

    • It is not case sensitive.

  7. Select the account code. There are three options:
    • Show details for the linked account code
      That is, show the code/description or both for the account the workpaper is linked to.
    • User enters account code in the workpaper
      If you select this option, then you must enter an account code when preparing the workpaper.
    • Show details for the account code of linked client
      Select this option to add a Link client button into the workpaper, so that you can insert an account balance for a related entity.
  8. Select the Account name display details. You can select to display the Account code and description, the Account code only or the Account description only. The default option is Account code and description.
  9. If the User enters account code in the workpaper option is selected, then the Rollover value to next period checkbox is selected by default.
    This means that entered Account code and description data will be displayed in the same field in the next rollover period. Deselect the Rollover value to next period checkbox, if you do not want the Account code and description value to be rolled over.
  10. Click OK. The Account Code or Description field is placed at the insertion point. The Account Code or Description window and the Insert Field window close.
