Days paid/hours paid (New Zealand)

MYOB Exo Payroll has an area called either Days Paid or Hours Paid, depending on the setup of the system, which affects rate calculations for Holiday Pay, Sick Pay and other leave types depending on individual employee setups.

This article applies when Holiday Pay is setup in Days or Hours. If Weeks has been enabled, calculations for Holiday Pay are based on Weeks - refer to White Papers available here.

The Days/Hours Paid screen has two sections:

  • 'Days paid For Holiday Pay'
  • 'Days paid for Average Daily Pay/Relevant Daily Rate'.

Days/Hours Paid for Holiday Pay

This value should represent the number of normal working days in the pay period, including any leave being paid in place of a working day.

For those employees who have a set Annual Entitlement specified, such as 20 days, this value would only be changed if the employee is being paid more than 1 period worth of pay in the same period (such as paying leave in advance) or if the employee is not being paid at all. If this figure is being changed, remember that any leave paid also counts towards Days Paid.

Example: A salaried employee who works 40 hours/5 days a week would have an Annual Entitlement of 20 days or 160 hours and the Days Paid field would be set to 5 for Days Paid (40 for Hours Paid) for a Weekly Pay. If the employee took 2 days of Annual Leave in the week then this field would still be showing 5 (or 40) as it includes the leave paid.

For employees using the Permanent Part-time/Pro-Rata accrual method, the Days/Hours Paid value is used to calculate their Holiday Pay accrual. For these staff members the Days/Hours Paid value should be adjusted to reflect the physical days or hours that they have worked in the period, as well as any leave days that are being paid to the employee.

Example: An employee who for the last month or so has been working 4 days a week and in the Current pay period the employee works 2 days and takes one day of annual leave. The Days Paid figure would be changed to be 3 (2 normal days' work plus 1 leave day paid)

'Days paid for Holiday Pay' contributes to the Last 12 Months, 4 week Average and Standard Pay which the software may use when calculating a rate at which to pay out Annual Leave depending on the Ordinary Daily Rate setup for an employee. The software does this by taking the Gross and dividing this by the Days/Hours Paid figure for any of the periods (Last 12 Months or 4 week Average or Standard Pay) to get a rate.

Days/Hours Paid for Average Daily Pay/Relevant Daily Rate

This value should represent the number of physical days/hours that the employee is being paid for (including leave) in this period.

Example: An employee worked 4 days then took one days sick leave and was paid for this. The figure to enter would be 5 (4 normal days' work plus one sick day paid)

'Days paid for Average Daily Pay/Relevant Daily Rate' contributes to the calculation of Average Daily Pay or Standard Pay rates which the software may use when calculating a rate at which to pay out Sick Pay and other leave types, depending on the Relevant Daily Pay Rate Method that is selected for each employee. The software does this by taking the Gross and dividing this by the Days Paid figure for either of the periods (Last 52 Weeks or Standard Pay) to get a daily rate which is then divided by the 'Hours per Standard Day' figure to get the Relevant Daily Pay Rate.

If the field is called 'Hours paid for Average Daily Pay/Relevant Daily Rate' then the software will do the calculation by taking the Gross and dividing this by the Hours Paid figure for either of the periods (Last 52 Weeks or Standard Pay) to get the Relevant Daily Pay Rate.
