Add Assignment Wizard—assignment and schedules mode

Accountants Enterprise with Practice Manager only

The following information is valid only for the Assignments and Schedules job mode.

To add an assignment and schedule from a template
  1.  Find and open the client. See Finding and opening clients and contacts.
  2. Open the Add Assignment Wizard. See Opening the Add Assignment Wizard. The Add Assignment wizard opens on Step 1 — Create Assignment for Client.

  3. Ensure that the Add From Template option is selected. When selected, a list of existing templates is displayed. You can use these templates to add assignments and schedules. All available templates are displayed by default.

  4. Select a Job from the drop-down or overtype the existing text.

  5. Select the Assignment Template Group for the assignment to filter the list of displayed templates. All templates are listed by default.

  6. Select the template(s) you would like to add to the client assignment from the list of existing templates. Click the checkboxes adjacent to the template Name. A new tab is created next to the Client Details tab on the wizard for every template selected. For example, if you select a template called Audit, an Audit tab is created. The window title updates from Step 1 of 1 to Step 2 of 2. If a schedule template has been created for the assignment template, the schedule template details are also displayed.

  7. Click the first newly created tab to enter the Schedule details.

  8. Enter the Description for the schedule name. This field will default with the current year or the value from the Job field in Step 1  Create Assignment for Client.

  9. Enter the employee Assigned To the schedule. Type in the employee’s name or find and select it from the Find Employees window which is opened by clicking the magnifying glass button on the field.

  10. Enter the Budget for the schedule.

  11. Enter the Target date of the schedule. Enter the date in the format dd/mm/yyyy or select it from the drop-down calendar. You will not be able to change the schedule stage details. Once the assignment and schedule have been created you have the option of editing the schedule details on the Assignment Details page > Schedule tab. If the selected template does not have a schedule template, the assignment will be created without a schedule.

  12. Enter Notes, if required. Information displayed in the Partner, Manager, Company and Centre fields is derived from the assignment template. If no information was entered on the assignment template, the information will be derived from the client details. If no information is displayed in these fields, you can select the Partner, Manager, Company and Centre.

  13. Select the Department, Office and Nominal.

  14. Click Finish. You are returned to the client page > Assignments tab.

    You can click Finish at any point. It is not mandatory to view every tab.

To add an ad hoc assignment and schedule
  1. Open the Add Assignment Wizard. See Opening the Add Assignment Wizard.

  2. If the name of the client is not displayed, click the magnifying glass button on the Client field. The Find Client window opens.

  3. Find and select the client. The selected client’s name is reflected in the Client field.

  4. Select the Create New Assignment option to create a unique assignment. The table updates to display blank cells that you can enter information into. The Assignment Template Group list will be unavailable.

  5. Enter the name of the Assignment.

  6. Enter the unique assignment Code that will identify the assignment.

  7. Select an Assignment Type from the drop-down list. This attaches the new assignment to an assignment type.

    No job or schedule information is added for the assignment. You can add a job or a schedule to the assignment after it is created.

  8. Click Finish to create the assignment. The client page > Assignments tab opens.
