You're almost ready

Like any move, there's a couple of things which need tidying up before you can settle in.

If you used payroll in AccountRight or AccountEdge (Australia only) you'll need to complete your payroll setup in MYOB Essentials. Also, your contacts, accounts, items list, open sales and purchases which have been brought across to MYOB Essentials will need to be re-reconciled.

Let's take a closer look.

To complete your payroll setup (Australia only)

To complete your payroll setup (Australia only)

Before you can use payroll in MYOB Essentials, there are a few things you'll need to do in your previous MYOB software, and others in MYOB Essentials.

1. Do these things in your previous MYOB software

Because you've been reporting your payroll information via Single Touch Payroll from your previous MYOB software, the ATO has received your year-to-date (YTD) payroll totals. But when you start reporting payroll from MYOB Essentials, the YTD totals will be sent again, which will duplicate these figures in your employees' myGov account.

To fix this, you'll need to clear each employee's YTD payroll amounts from your previous MYOB software, then send an update to the ATO.

 1. Clear employee YTD amounts

  1. Open each employee's card (Card File > Cards List > Employees > click the zoom arrow to open their card).
  2. Click the Payroll Details tab, then click Pay History on the left.
  3. Under Show Pay History for, choose Year-to-Date.
  4. Change each amount to zero ($0.00).
  5. Click OK.
  6. Repeat for each employee who's been paid this payroll year.

2. Send an update to the ATO

The way you do this depends on your MYOB software.

If your previous MYOB software is...Do this...
MYOB AccountRight

Process a zero dollar (void) pay for each employee. This is like a regular pay run (need a refresher?), but change all hours and amounts in each pay to 0.00.

Make sure each employee's Net Pay shows $0.00 like this:

Do this for each employee, record the pays, then send the payroll information to the ATO.

MYOB AccountEdge

Process an update event, like this:

  1. Go to Payroll > Payroll Reporting.
  2. Click Create Update Event.
  3. In the Type field, select Update Event.
  4. Click Create Update Event.
  5. Select all employees.
  6. Enter the name of the Authorised Sender.
  7. Click Send to ATO.
  8. Click Close.

3. Finalise your STP reporting

You'll need to finalise your employees' payroll information in the STP payroll reporting centre. This is to advise the ATO that your payroll reporting is ending from your old software.

You'll continue reporting via STP in MYOB Essentials once you set that up as described in the next section.

Here's how to finalise your STP reporting:

If your previous MYOB software is...Do this...
MYOB AccountRight
  1. Go to the Payroll command centre and click Payroll Reporting.
  2. Click Payroll Reporting Centre.

  3. Click the EOFY Finalisation tab and choose the Payroll year you're finalising.
  4. If you need to report fringe benefits for an employee (what is this?):
    1. Click the ellipsis  button for the employee and choose Enter RFBA.
    2. Enter in both the:

      • Reportable fringe benefits amount $

      • Reportable fringe benefits amount exempt from FBT under section 57A $
The combined value of these must be above the thresholds set by the ATO.

    3. Click Add amounts.
  5. Select each employee you want to finalise, then click Set as Final.
  6. Enter the name of the Authorised sender and click Send.

MYOB AccountEdge

Process an update event, like this:

  1. Go to the Payroll command centre and click Payroll Reporting.

  2. Click Create Update Event.

  3. Choose the Payroll Year you're finalising.

  4. Select the employees to be finalised and enter the Authorised Sender.

  5. Select the Final Submission option and click Send to ATO.

  6. Click Close to close the window.

Once you've completed these tasks, you can complete you payroll setup in MYOB Essentials.

2. Do these things in MYOB Essentials

1. Set up Pay superannuation (only if you've moved from AccountRight)

The way you'll pay your employee's super contributions in MYOB Essentials is different to AccountRight. MYOB Essentials creates a contribution file for you to upload to MYOB's Super Portal. For all the details, see Set up Pay superannuation.

2. Re-enter pays

Your payroll transactions for the current payroll year were converted to MYOB Essentials as journal entries. This means you need to re-enter these as payroll transactions in MYOB Essentials. This will ensure your payroll reports, including PAYG payment summaries, are accurate for the current payroll year.

There's a couple of ways you can do this:

  • Record each pay separately to replicate the pays in your previous MYOB software. Use the pay slips from your previous MYOB software as a guide. We recommend this method if you have unpaid superannuation for a specified period or you want to keep the pay separate for auditing purposes.
  • Record a single "bulk" pay using details from the Payroll Activity Detail report from your previous MYOB software. For information on this report, see the Payroll reports topic in MYOB AccountRight help.

To learn about completing a pay run in MYOB Essentials, see Do a pay run.

3. Check employee leave balances

Your employees' opening and current leave balances that have been brought across from your previous MYOB software, but it's a good ideas to check they're correct.

Make sure you've re-entered your pays in MYOB Essentials as described in the previous task before proceeding.

To help check employee leave balances:

  • In your previous MYOB software, run the Entitlement Balance Summary report for the current payroll year. This will show the Opening Hours and Available Hours of leave for each employee.
  • In MYOB Essentials, check the Opening balance for each employee’s leave (Payroll menu > Employees > click an employee's name to open their record > Leave tab). Make sure the annual leave and personal leave balances in MYOB Essentials match the Available Hours shown in the Entitlement Balance Summary report from your previous MYOB software. You might need to change the Opening balance values in MYOB Essentials to correct any differences caused by rounding, etc.

If you need to adjust an employee's leave balance, see Managing your employees’ leave.

4. Set up Single Touch Payroll reporting

To report your payroll information to the ATO from MYOB Essentials, you'll need to set up Single Touch Payroll. It's similar to how you set it up in your previous MYOB software—and because you've done it before you'll know what to expect.

See Setting up Single Touch Payroll reporting.

5. Delete converted pay journal entries

Once you've completed the above tasks, you can delete the converted payroll journal entries. This ensures your payroll data isn't duplicated.

  1. Access the journal entries in MYOB Essentials by clicking your business name then choosing General journals.
  2. Use the From and To dates to locate the converted pay journals for the current payroll year. You can use the Search field to find only payroll journals, for example search for the Memo recorded in pays in your previous MYOB software.
  3. To delete a journal, click the journal to open it then click Delete.

To learn about journal entries in MYOB Essentials, see General Journals.

To re-reconcile your transactions

To re-reconcile your transactions

Only re-reconcile transactions that were already reconciled in AccountRight or AccountEdge. If you're not sure what to do with transactions that weren't reconciled in your previous software, check with your accounting advisor.

  1. In MYOB Essentials, go to the Banking menu and choose Bank reconciliation. The Bank reconciliation page appears.
  2. Select the account in the For account field and enter the Last Reconciled Date from your AccountEdge or AccountRight file in the Reconciliation date field. All transactions for the account will be listed with a status of Unreconciled (Pencil icon).

Open AccountRight or AccountEdge to find the Last Reconciled Date and Account in the Reconcile Accounts window.

  3. Select all transactions to be re-reconciled. If you had transactions in your company file that weren't reconciled before moving to MYOB Essentials, don't select these.

Open AccountRight or AccountEdge to find your unreconciled transactions in the Reconcile Accounts window by entering the Last Reconciled Date in the Bank Statement Date field.

  4. Click Complete reconciliation.

  FAQs

Why can't I see all my transactions in the Bank reconciliation page?

Why can't I see all my transactions in the Bank reconciliation page?

There's a glitch in some internet browsers which stops multiple pages of transactions from showing. To fix it, scroll to the bottom of the Bank reconciliation page and change the rows per page from 250 to 100 then back to 250. Additional pages will now be shown.

I can't reconcile a transaction because its status shows "Autoreconciled on a later date" - what should I do?

I can't reconcile a transaction because its status shows "Autoreconciled on a later date" - what should I do?

If a transaction on the Bank reconciliation page has a status of Yellow tick icon (Autoreconciled on a later date), this usually means the transaction has been automatically matched by a bank feed. If the match is wrong, you can undo it then manually match it to the right transaction.

Go to the Banking menu and choose Bank transactions. Click the Grey cross icon icon next to the automatched transaction to unmatch it. Once you've unmatched the transaction, you can match it to a different transaction, or allocate it to an account.

Will my BAS/GST return be affected after converting?

Will my BAS/GST return be affected after converting?

Due to the nature of the conversion process, BAS/GST reporting in MYOB Essentials won't be accurate for periods prior to the conversion. It'll be accurate from the conversion date onwards.

We recommend you have your MYOB Essentials file verified by an accountant or BAS agent. Learn how to invite your accountant to access your file.

Also, manual journal entries may have been entered into your file to ensure your GST collected and paid reconciles as of the conversion date.
