Products and services set up as items

To speed up your data entry you can create an items list of the most common services you provide or products that you sell.  Once the details are set up, all you need to do later is select the item and the details will appear on the Invoice or Bill.

Before you start creating items, consider using a naming method for item numbers and item names, so that similar items are sorted together. Give each item a unique ID and a name and then based on what the item is determines what details you need to complete.

IckyLeaks wants to set up the following services and products as items.

P001 -  Pipes

  • Charges customers $20 for each pipe
  • Tracks the income to 4-1200 Plumbing products
  • Buys each pipe for $10
  • Track the purchases to 5-2800 Plumbing purchases
     

S001 - Install pipes

  • Install new pipes and assemble pipe sections and tubings
  • Sells this service at $80 per hour
  • Tracks the income to 4-1100 Plumbing services

P003 Equipment Hire

  • Hires lots of different equipment so the price differs each time (we only buy this in)
  • Tracks the cost of hiring equipment to  5-3000 Equipment hire

     

 

 

Don't know the item price or does it frequently change?

That's OK, just enter a default base price (such as $1.00) and override this price when you record the item sale or purchase.

Edit an item

You can open an item for editing by clicking on the item number or name of an item in the item list. Make and save the changes.

Delete an item or mark it as inactive

You can only delete an item if it hasn't been used in transactions. Otherwise mark an item as inactive. This will remove the items from reports and lists but retained in case you need to access the details in the future.
