About locking data

Once you've finalised the records for a particular period, especially if it's a GST period or a financial period, you may want to lock the data for that period. This will prevent anyone from inadvertently making a change to the final data.

Whenever someone views a transaction that falls in a locked period, they will see a message saying that the journal falls within the locked period. They will not be able to edit the transaction. Of course, firm users (that is, users from your accounting firm) can always change the lock period at any time, from the Basic Settings page.

To lock data

  1. Open the cashbook for the relevant business.

  2. Go to Settings>Basic Settings.

  3. Turn on the Lock data option by using the toggle button ().
The Lock all data up to and including field appears below.

  4. Select the date up to which you want to lock transactions.

  5. Click Save changes.

Users will not be able to change any transactions that fall in that period. Firm users (that is, users from your accounting firm) will also see the same message about the transaction being locked, but they can always change the lock period again.
