When you restore a backup in AccountRight v19, you might experience either:

  • the information in your company file is older than you expected, OR
  • the restored company file is different to the company file which was backed up.

There are 2 possible reasons for this:

  • the wrong company file has been backed up and this is the company file being restored, OR
  • the backup file contains 2 or more company files, and the wrong one has been restored.

When you backup your company file, AccountRight creates a ZIP file to store your backed up company file. When the ZIP file is restored, AccountRight will always restore the first company file it finds inside the ZIP file. This might be a different company file if you have been using the Back up all data option when creating your backups.

What is a ZIP file?

A zip file is a compressed file which takes up less storage space and can be transferred to other computers. A zip file can contain one or more files.

In the example below, the backup file called Clearwtr20130706.ZIP is opened in Windows Explorer and you can see the correct clearwtr.myo company file under Users > Will > Documents > MYOB Datafiles.

However, when restoring this Clearwtr20130706.ZIP backup file, AccountRight restores the company file wrongwtr.myo which is located in Premier19 > Forms:

This is because the Forms folder (where the wrongwtr.myo exists) occurs before the MYOB Datafiles folder (where the clearwtr.myo company file exists). So when AccountRight restores the backup, it finds wrongwtr.myo first.

To restore the correct company file from inside the ZIP file
  1. Simultaneously press the Windows Image and E keys on your keyboard (the Windows Image key is between the Ctrl and Alt keys). The Computer or Windows Explorer window opens.
  2. Locate the backup ZIP file.
  3. Right-click the ZIP file and choose Open With then choose Windows Explorer. The contents of the ZIP file will be displayed.
  4. Locate the company file you want to restore. When viewing the contents of the ZIP file in Windows Explorer, you can press F3 and search for *.MYO to find all .MYO files (AccountRight company files) in the ZIP file.
  5. Right-click the company file and choose Copy.
  6. Navigate to the location where you want to store the restored company file.
  7. Right-click in that location and choose Paste.
  8. Double-click the company file to open it in AccountRight.
To prevent this occurring again
  4. Check the following folders for .MYO or .ZIP files:
    • Australian versions: BASlink, Custom, Forms, LETTERS, Payment Summaries and Spredsht
    • New Zealand versions: Custom, Forms, LETTERS and Spredsht
  5. Delete the .MYO and .ZIP files from those locations.
  6. Go to those locations on your hard drive and delete the .MYO and .ZIP files from there also.
