This page will provide you with the relevant instructions on how to process Cash on Delivery (COD) payments for any purchases of goods at your store. This happens when you receive new stock and pay for it from funds in your till, instead of paying the supplier's account later.
Setting up for Cash On Delivery Purchases
Before recording COD purchases, you first must set up a new account in your accounting software, and a new payment type and banking export group in RetailManager.
Set up the relevant COD account in your MYOB accounting software
- Go to the Accounts command centre and click Accounts List.
- Click the Asset tab.
- Click New.
- Select the Bank account type.
- Give the new account a number and a name, for example 1-1240 COD Payments. See our example below.
Set up a new payment type in RetailManager
- Go to the Setup menu and choose Options then click Payment Type.
- Click Create.
- Name the new Payment Type 'COD' then click OK.
- Click Apply then click Close.
Set up the Banking Export group in RetailManager
- Go to the Setup menu and choose Options then click Accounting.
- Click the Banking Export tab.
- Click Create and enter the name of your Banking Export Group as "COD" and enter the corresponding account number (as created in your accounting software in Task 1).
- Click OK. COD will appear in the Payment Groups field.
- Highlight the COD Payment Type in the Available Payment Types field and click the black arrow button that is pointing towards the Associated Payment Types list. This will associate the COD payment type with the COD export group that was created. See our example below.
- Click Apply then click OK.
- A message will be displayed about these changes not taking effect until you open a new transaction window. Click OK.
Recording goods received, COD payment, and supplier payment
Record the goods received
- Go to the Transaction menu and choose Goods Received.
- Enter the details as normal and commit.
Record the COD payment
- Go to the Transaction menu and choose Sales.
- Enter your Staff number but no Customer.
- Do not enter a stock item.
- Click the payment type Cash and enter the dollar amount of the Goods Received as a negative figure, such as -500, then click Add.
- Click the payment type COD and enter the same dollar amount as a positive amount then click Add. See our example below.
- Click Commit.
This will ensure the cash draw balances at the end of the day because the payment of the Goods Received has been deducted from the till. The Accounting export will result in an open purchase in your MYOB accounting software and an amount in the new COD account.
Enter the supplier payment in your MYOB accounting software
- Go to the Purchases command centre and click Pay Bills.
- Select the name of the Supplier from the drop down list.
- Change the account number selected in the top left hand side of the screen from the default asset account to the COD account.
- Enter the details as per normal for a supplier payment then click Record.
The amount will now be cleared from the COD asset account and it will bring it back to a zero balance.
