Contra deals are a convenient means by which two businesses trade between each other using their goods and services supplied to each other as payment for those received.

Setting up for processing contra deals 

To process contra deals in RetailManager, you first need to set up your software with a new contra account, payment type, and Banking Export group.

 

To set up RetailManager to process contra deals

Set up the relevant contra accounts in your MYOB accounting software

  1. Go to your Accounts command centre and click Accounts List.
  2. Click the Asset tab.
  3. Click New.
  4. Select Bank in the Account Type drop down selection list.
  5. Give the new account a number and a name, for example 1-1240 Contra Account.

Set up a new payment type in RetailManager

  1. Go to the Setup menu and choose Options.
  2. Click Payment Type.
  3. Click Create.
  4. Enter the name Contra  then click OK. See our example below.
  5. Click Apply then click Close.
  6. A message may appear warning you that the changes you just made will only take effect the next time you open a sales screen. Click OK.
     

Set up the Banking Export group in RetailManager

  1. Go to the Setup menu and choose Options.
  2. Click Accounting then click the Banking Export tab.
  3. Click Create.
  4. Enter Contra as the name of your Export Group.
  5. Enter the corresponding account number in A/C code field. This is the account number you created in your MYOB accounting software.
  6. Click OK button. Contra will appear in the Payment Groups field.
  7. Click to highlight the Contra Payment Type in the Available Payment Types field and click the black arrow button that is pointing towards the Associated Payment Types window. This will associate the Contra payment type with the Contra export group that was created.
  8. Click Apply then click Close

Recording a contra deal

With your RetailManager set up, you're ready to record contra deals. See details below on recording the transaction if you do or do not have an outstanding purchase to be paid to your supplier, as well as how to enter the supplier payment in MYOB account software.

 

To record a transaction for a customer who is also your supplier (contra deal)

If you do not have an outstanding purchase to be paid to your supplier

  1. Go to the Transaction menu and choose Sales.
  2. Enter the details of the sale as normal.
  3. Select the payment type Account. Your supplier/customer will have to be set up as an 'Account' customer.
  4. When your next make a purchase from your supplier/customer, you can pay off this invoice in the Debtor Payments window by using the Contra payment type.
  5. If the contra amount does not cover the full amount of the invoice, you can pay off the remainder of the invoice with another method of payment, for example Cash, cheque, EFTPOS, etc.

If you do have outstanding purchases to be paid to your supplier

  1.  Go to the Transaction menu and choose Sales.
  2. Enter the details of the sale as normal.
  3. Click the payment type called contra and enter the dollar amount of the sale.
  4. If the total of the sale can be paid by contra amount, commit the sale. If additional payment must be made, simply choose the other method(s) of payment and commit the sale.

 

When the accounting export/import has been completed, this will place the amount of the sale in the contra asset account. This amount will remain there until the Supplier Payment is entered in your MYOB Accounting software. 
To enter the supplier payment in MYOB accounting software
  1. Go to the Purchases command centre and click Pay Bills.
  2. Select the name of the supplier and press Tab.
  3. Change the account number selected in the top left hand side of the screen from the default asset account to the Contra account.
  4. Enter the details as per normal for a supplier payment then click Record.

The amount will now be cleared from the contra asset account and it will bring it back to a zero balance.
