How does an integrated EFTPOS terminal work?The EFTPOS interface is simple to use. You enter a transaction and select EFTPOS, Visa, MasterCard, or another electronic option as the payment type. RetailManager then sends a signal with the total transaction amount to the EFTPOS terminal to initiate the transaction. Utilising RetailManager with the EFTPOS interface removes the need for double-keying of data, saving time and reducing the chance of operator errors.
How do I set up an Integrated EFTPOS terminal in RetailManager?
  1. Go to the Setup menu and choose Hardware. Click the EFTPOS tab and the following window is displayed.

  2. In the Institution/Model field choose the appropriate terminal type.
  3. If the Serial Port drop-down list is enabled, select the serial port your terminal is plugged into
  4. Click Apply to save your settings and close the window.
How do I set up my electronic payment types?
  1. Go to the Setup menu and choose Options.
  2. Click Payment Type and the following window is displayed.

  3. In this example, we will configure the EFTPOS payment type. Click to highlight EFTPOS then click Edit. The following window will appear.

  4. The option This payment type is electronic must be selected to be able to send data from the computer to the EFTPOS terminal. You can also choose to select the Allow cash out option and set your Round to nearest preference.
  5. When you have finished choosing your options, click OK.
  6. You can repeat the above steps for any other electronic payment types you may use, for example Visa, MasterCard, Amex, Diners, etc.
  7. In the Options/Payment Type window, click Apply then Close.
  8. A message will appear reminding you that the changes you just made will only take place when you next open a new transaction window. Click OK.
  9. If you had a transaction screen open such as sales or receive payments, close it and re-open it.
How do I process a sale using an electronic payment type?

All electronic transactions are processed through the Electronic Payment screen that appears as the sale is being committed (see example below). Swipe the customer's card and perform the appropriate tasks as prompted by the EFTPOS terminal.

For TYRO - IP EFTPOS and DPS Payment Express - Integrated EFTPOS, the screen that appears will appear slightly different to the example shown below.

  • Approve - The transaction will automatically approve when the terminal has indicated the bank has approved the transfer of funds. The transaction will automatically be committed. If the transaction is not balanced, (for example when a partial payment using EFT is made) the EFT portion of a payment is locked and cannot be edited. Focus is returned to the payment type area to complete balancing of the transaction through non-EFT payment.
  • Retry - If a transaction is rejected or the customer has insufficient funds, select the Retry option. The transfer process to the EFTPOS terminal will be re-initiated.
  • Manual - If you are experiencing difficulties getting your customers card to approve, or your phone line is not processing electronic transactions, you can select the Manual option to complete the transaction. The transaction amount is locked and cannot be edited. You can commit the sale and swipe the customers' card through a manual imprint machine.
  • Cancel - Selecting Cancel will cancel the EFT transaction. If you select Cancel for an EFT transaction, the selected payment type is reset. If you have used more than one payment type, they will also be reset.
Can I take cash out on EFTPOS if I am not processing a sale?

Yes. If your business policy allows it, RetailManager enables your customers to withdraw cash from EFTPOS without processing a sale by following the steps below.

To enable the cash out function, you must have selected the Allow cash out option when setting up your electronic payment types. See above for instructions on setting up electronic payment types.

To take cash out:

  1. In the Sales window, enter your staff number.
  2. If you are serving a regular customer, enter their customer number. If not, simply skip the Customer No. field.
  3. Skip through the Code field without entering any stock information.
  4. Highlight the EFTPOS payment type, enter the amount the customer wants to withdraw and hit Enter.
  5. A window is displayed asking whether this is only a Cash Out transaction as shown below. Click YES.

  6. The Electronic Payment window will appear. Swipe or dip the customer's card and perform the appropriate tasks as prompted by the EFTPOS terminal.
I don't have an Integrated EFTPOS terminal, can I still process EFTPOS transactions in RetailManager?

Yes. You can process "stand alone" EFTPOS transactions if you have an EFTPOS terminal that is not connected to your computer or integrated into RetailManager. "Stand alone" means that you must manually select the transaction type, for example purchase, refund, cash out, and then enter the transaction amount into the EFTPOS pin pad.

If you use a stand alone EFTPOS terminal, you need to ensure that the option This payment type is electronic is deselected for your electronic payment types. See above for instructions on setting up electronic payment types.

I am having trouble with my Integrated EFTPOS terminal - what should I do?

If for some reason an issue occurs whereby you are unable to process Integrated EFTPOS transactions, you can run RetailManager and the EFTPOS terminal independently. This means you can continue to process card transactions until the issue is resolved.

  1. Go to the Setup menu and choose Options.
  2. Click the Payment Type tab.
  3. Double-click the payment type that you have set up as an 'electronic payment type'.
  4. When the Payment Type Properties window appears, deselect the option This payment type is electronic.
  5. Click Ok.
  6. Click Apply then Close.
  7. A message will appear reminding you that the changes you just made will only take place when you next open a new transaction window. Click OK.
  8. If you had a transaction screen open, for example sales, debtor payments, etc., close it and re-open it.
  9. You need to repeat the above steps for any other type of electronic payment types you may use like Visa, Amex and Diners etc.
