This page describes the tasks required to set up RetailBasics to handle petty cash transactions.

 

1. Setup a new payment type
  1. Go to the Admin window by clicking the Alt+A Admin icon.
  2. Click Setup and Maintenance.
  3. Click Payment Types.
  4. Click F5 Add payment type. The Add Payment Type window is displayed.
  5. As the Payment Name, enter Petty Cash.
  6. As the Payment Group, select Other.
  7. For the Rounding Rule, select your preference.
  8. At the Payment Type Status option, select Active. See our example below.
  9. Click OK then click Close to exit the Payment Types window.
  10. Click Accounting Export Maintenance.
  11. Expand the Account Numbers for Payment Types section by clicking on the down arrow.
  12. Enter the Petty Cash account number you have setup in your accounting software. See our example below.
  13. Click OK. 
2. Setup a petty cash stock code
  1. Go to the Admin window by clicking the Alt+A Admin icon.
  2. Click Stock.
  3. Click F5 Add stock.
  4. As the Stock Code enter PETTYCASH.
  5. As the Description enter Petty Cash Transaction.
  6. Specify your preferred Department and leave all other options as their default. See our example below.
  7. Click OK then click Close.
3. Process a petty cash transaction
  1. Select the Sales window.
  2. Click Process Refund.
  3. Choose the PETTYCASH stock code.
  4. Change the Price to the amount you are taking from the till. See our example below.
  5. Click F12 Refund Payment and enter the amount against the Petty Cash.
  6. You can enter a Comment, and print a receipt for the transaction.
  7. Click OK
