This support note describes how to transfer RetailManager files between a remote location and your store using a Remote Site Licence. This involves backing up your shopfront at your store and restoring the  backup on your computer at the remote office. Once work is completed, create a backup and restore it on the store computer before trading begins.

 

Remote Site Licences

  • You cannot process sales transactions using your Remote Site Licence.           
  • If you have multiple versions of RetailManager in various stores, you can only access a shopfront from the store whose serial number you purchased the Remote Site Licence under.           
  • The Remote Site Licence cannot be used on a local area network (LAN) with a Full Licence or Additional Licences.
  • You should not use your Remote Site Licence at another location while the same file is being used at your store. This will cause problems as you will now have two separate shopfronts with different information in each of them.

1. Back up your shopfront at your store
  1. If you have multiple workstations using RetailManager, close out of the shopfront.
  2. On the computer where your database is located, go to the File menu and choose Backup.
  3. A message will appear asking you to close your current shopfront. Click Yes. The following window will appear.
  4. Choose the location you want to save your backup to by clicking the dropdown arrow in the Save In field. You can backup to a variety of removable media such as USB Memory Sticks or Recordable or Re-writeable CDs or DVDs. If you are backing up to a recordable or re-writable CD or DVD, RetailManager cannot backup the shopfront directly onto your CDR. Backup to a folder on your computers hard drive first, then use the recording software provided with your disk writer to record the zip file to the disk.
  5. Click Save.

This backup can now be taken to your remote office. It is important to perform the backup AFTER you have stopped trading for the day.

2. Restore the shopfront on your remote office computer
  1. Insert the removable backup media into to the media drive of the computer at your remote office.
  2. Open RetailManager.  
  3. Go to the File menu and choose Configuration.  
  4. If your shopfront is open, you will be asked to close it - click Yes. The Shopfront Configuration window will appear.
  5. Click the Maintenance tab.
  6. Click Restore. A window will appear asking you to select the file to restore.
  7. By default, RetailManager will look in the 'Backup' folder on the local hard drive. Your shopfront is located on your removable media, not in the 'Backup' folder. Click on the drop down arrow at the top of the window and change the selection to the letter that represents your removable media.
  8. Click the applicable zip file to restore with the format of the file being RMyymmdd.zip, for example RM150707 was backed up on  7th July 2015.
  9. Click Open. The following screen will appear.

  10. Select the Restore your shopfront to a new folder option, then click OK. The following screen will appear.

  11. If this is the very first time you are restoring your shopfront at your remote office, click  New Folder  and enter the name of your shopfront as per the example below. If you have restored your shopfront onto the computer at your remote office before, then your shopfront folder will already exist in the main window.  

  12. Double-click your shopfront folder. It will now appear in the Look in window.
  13. Click Open and your database files will be restored to the selected folder.
  14. If the folder you are restoring to already exists then the following message will display.

  15. Click Yes. The existing database files will be renamed and the most recent files from your removable media will be copied into the selected folder.
  16. If successful, a window will appear advising you that you have successfully restored your shopfront.
  17. Click OK. You will then be able to open your shopfront on your remote computer.
3. Back up your shopfront at your remote location

Once you have finished working on your shopfront at your remote location, use the steps outlined in the 'Backing up your shopfront at your store' section above to perform another backup onto your removable media.

If a file with the same name exists on the removable media, you will be prompted to overwrite the file. Click Yes.

This backup should be taken back to your store and restored before trading commences on the next day.

4. Restore your shopfront onto your store computer

It is important that your shopfront is restored onto your store computer before sales or any other type of transaction is processed. Also, ensure that you have restored your shopfront onto the computer which stores your database (the one which you used to make the initial backup).

Use the steps outlined in 'Restore the shopfront on your remote office computer' section above to restore your shopfront back onto your store's computer.

Please note that when you get to step 11, follow the steps as if you have restored your shopfront onto the computer at your remote office before.
