How to Add a New Alias

Accountants Enterprise only

According to the User Account details a user is able to access application ledgers. By setting up an Alias, a user may be provided with access to different ledgers or with different security level. For example, your System Administrator may be on leave and so an alias can be setup for another user with rights sufficient to administer the required ledgers.

To add a new alias:

  1. From the Navigation bar, click Administration > User Accounts to open the User Accounts window.

  2. Double-click the required user to open the User properties window.

  3. Click the Alias tab.

  4. Click New to open the Alias Properties window.

  5. At the Ledgers field click the ellipsis to open the Select Folder window.

  6. Highlight a Folder in the list, for example TAX, and click [Select].

  7. Highlight a ledger in the list, for example Tax2010, and click [Select].

  8. The names of the Folder and Ledger are displayed in Alias Properties window.

  9. Enter a code in the Access As field, if you want to the alias to show separately from the user in the Event Log.

  10. Enter the required security level in the Security Level field.

  11. Click OK to confirm the alias details.

How to Edit User Aliases

Accountants Enterprise only

An alias allows you to use different user codes and security levels to access certain ledgers. Each time the application ledger is accessed the alias is applied. The Alias feature allows a user code or security level to be altered automatically when a particular ledger is accessed. An alias is specific to the nominated ledger, but you can establish the same alias for a number of ledgers.

You are able to establish an alias with the same user code as the user but with a higher security level attached to specific ledger(s). For example, a user may have a base security level of 0*, but an alias with a security level of 6* in a specific ledger. In this instance, when the user accesses the nominated ledger, they have access equivalent to the higher security level. If you establish a different user code for the alias, the user needs to login with that user code before the higher security level is available with the ledger. You also need to create a user with the specified user code.

Aliases are commonly used in conjunction with menu level security (MLS) and only have effect within applications. Although the code and security level while operating within a ledger may be different due to the existence of an alias, the original login code and security remain in effect.

The Alias Table window allows you to establish an alias linked to the current user and ledger. You can set a higher security level for the alias, thus allowing the user greater access to the specified ledger.

To access the Alias Table window:

    1. From the Navigation bar, select Administration > User Accounts.

      The

  1. Highlight the required user then right click and click Properties.
    The Users Properties window opens.

  2. Click the Alias tab.

The Alias details window opens.

This window lists existing aliases and ledgers for the user. The ledger name, alias and security level are displayed and access to the windows used to add and modify aliases is provided.

To edit an Alias:

    1. To edit an existing alias, highlight the required Ledger/Alias listing from the Alias Properties screen then right click and click Properties

    1. To change the ledger linked to the alias, select the ellipsis ellipsis.pngImage Removed button.

    1. Select the required ledger.

      The selected ledger name is displayed in the

  1. To change the Login or Security Level, type over the values currently in these fields.

  2. To confirm the edited alias details, click OK.

How to Delete a User

Accountants Enterprise only

Users can be deleted from the system.

To delete a user:

    1. From the Navigation bar, click Administration > User Accounts to open the User Accounts window.

    2. Highlight the user to be deleted. Right click and click Delete.

    A message window opens.
  1. Click Yes to delete the user or No to abort the deletion.

The user is deleted from the User Maintenance listing.

User Preference Tab

The Preference tab within User properties enables you to customise settings for a particular user(s).

To access the Preference tab:

    1. From the Navigation bar, click Administration > User Accounts.

      The
User Accounts
    window opens.
  1. Highlight the user and click File > Properties to open the User Properties window.

  2. Click on the Preferences tab.

The Preferences tab for the selected user displays.

The fields available on the Preference tab are:

  • Start: The Start field allows you define what view is used when this user logs in.

Options available are:
  • Default – on startup the user sees the contents of the Ledgers folder. This is the default setting.

  • Folders – the Folder window opens on startup. Folders allow greater flexibility for categorising ledgers and ledger types. Also refer to Folders.

  • Open Folder – this option allows you to define a folder other than the Ledgers folder, to be accessible on startup. This assists in restricting what folders a user can see.

  • Ledger List – defaults to the Ledger List for this user on startup.

  • User Accounts – defaults to the User Accounts window for this user on startup.

  • Page Setups – defaults to the Page Setups window for this user on startup.

  • Event Log – defaults to the Event Log window for this user on startup.

  • Sound: If a sound card is installed in your computer, a welcome sound or message can be played. The default sound is S6INTRO.WAV, however, any sound wave (.WAV) file may be substituted.

You can select to mute the welcome sound by selecting the Mute checkbox.
  • Page setup: The Page setup field displays the currently selected page setup. A blank field indicates the default page setup is selected.
