MYOB holds a lot of importance in having a good backup system in place and this cannot be overstated. The time associated with data loss or data issues caused by hardware problems can prove to be very costly and frustrating.MYOB recommends a daily external backup is performed of your MYOB Document Manager SQL database, your Document Manager File Store and your Intranet Data. The SQL database backup and Document Manager File Store should be backed up at the same time, as restoring your SQL database would require restoring your Document Manager File Store.

titleHow to To back up your SQL database

In MYOB Accountants Enterprise and Accountants Office, to back up your SQL database you will need to know your SQL database name.

To determine your SQL database name use the following process from within MYOB:

  1. Follow the menu path: Maintenance > Maintenance Maps > Tax > Tax Settings. The Tax Settings tab displays.

  2. In the AE or AO database area locate the Database Name field. The Database Name has been identified.

titleHow to To determine your Document Manager File Store

Perform the following process from within MYOB AE or AO:

  1. Follow the menu path: Maintenance > Maintenance Maps > Documents > Document Manager Setup. The Document Manager Setup tab appears.
  2. Click Document File Store in the Welcome tab. The File Store tab appears.
  3. Note the path in the File Store Location field. The location of your Document Manager File Store has been determined.

Perform the following instructions from within MYOB AE or AO:

  1. Click the Intranet icon. The Intranet tab dispalysdisplays.
  2. Click the Administration link. The MYOB Intranet Administration window opens.
  3. Follow the menu path: Tools > Configuration. The Configuration window opens.
  4. Locate and note the information in the Contents Path field. You have now noted the location of the Intranet Data on the Server.

Tape backup differences for a full, differential and incremental backup

A full backup of your SQL database and data file store is highly recommended due to the multiple files that may need restoring if a corruption occurs.

Incremental backups though commonly used as a backup strategy fall into the high risk category for data loss\downtime, as the possibility for a tape backup failure over successive days or time taken to search for a particular file on a tape off-site that needs restoring may add to the downtime incurred.

The table below outlines differences between tape backups.

 Differential Includes all files that were modified or created since the last full backup occurred.
 Incremental Includes all files that were modified or created since the last full, differential or incremental backup.
