You can link documents that are specific to an account to the corresponding account. For example, you can link a bank statement to the bank account, or a contract to an asset purchase can be linked to the specific asset account.

 

  • If
  • the Document name is already in use, a message will appear asking if you wish to add the document with a suffix attached. If you click OK, the document will be automatically added to the account.
  • Ensure that the path and filename in the File field are correct. The Reference field is disabled.
    The Document name field is automatically filled with the name of the file that is to be linked to the account. This can be changed, if necessary, by deleting the existing text and entering a new document name.

    1. Open the workpapers period. See Opening an existing period. The Prepare Trial Go to the client’s Client Accounting > Trial Balance (Workpapers) table is displayed.
    2. Select the detail or header account in the table.
      or
      Click the checkbox in the first column for the selected account.
    3. Click Link document on the Tasks bar.

      Another way of linking an external file to an account is to select the account in the table, right-click and select Link document.

      The Link External File window opens.
    4. Ensure that the correct account is displayed in the Account field.
    5. Click Browse in the Select external file section. The Attach External File window opens
    6.  tab and click a period in the Select Period section.
    7. On the TASKS bar, click Open Period. The table for the period appears. See Opening an existing period.
    8. Click the Non-account specific documents checkbox. This is the first item listed in the table.
    9. On the TASKS bar, click Link Document. The Link External File window opens.
    10. Select an Account value.
    11. In the Select external file section, click Browse. The Attach External File window appears.
    12. Navigate to the location where the file is stored and find the file.

    The Document name must be unique. An error message is displayed if the document name is already in use.

  •  Enter a new unique name for the external file in the Document name field.
  • Click the Rollover you want to include the document in the next rollover period, click the Rollover this document to the next periodperiod checkbox. This will include the document in the next rollover period. During rollover, the previous workpapers period is used as a base. If this option is selected the The link to the document will be recreated and included on the same account for in the next period.
  • Click Click Link. The external file is linked to the selected accountperiod. The external file is displayed as a sub-row below the account below Non-account specific documents in the table. A paperclip iconImage Modified icon identifies a linked document.
