To manage your PLS Agents and ensure that all ABNs are authorised, you can use the PLS Agent Settings window.
The Pre-fill Report File Settings window allows you to define where ATO pre-fill reports are stored in your system. If you have Document Manager, you can define the filing cabinet as well as the file name.
We recommend that only superusers, system administrators, or managers update these settings for a practice.
- Click PLS Agent Settings in the Tasks bar. The PLS Agent Settings and Cloud Software Authentication window displays.
- The list of agents for your practice is shown, with information on their:
Agent Code
Agent Name
Agent Number
ABN
Authorised status
- To onboard an agent who hasn’t yet been authorised, click Get Software ID and follow the onscreen prompts. See Lodgment Manager setup > Registering multiple ABNs for more information.
- You can define the frequency at which PLS Agents can receive Activity Statement reports. Click the Request AS Report dropdown in the Agent’s row, and select one of the following:
Daily – The software will schedule a report to be automatically retrieved each day for this Agent, so that the reports don’t need to be manually retrieved.
Never – The Agent will not receive a report each day.
- Click Save to save your changes.
- Click Report File Settings in the Tasks bar. The Pre-fill Report File Settings window displays.
- If you have Document Manager:
- Select Use Document Manager.
- Click Edit.
The Document Manager Settings window displays. - In the Details tab, fill out the Title for your reports, and select the Author. Click Next to continue.
In the Profiling tab, select the Filing Cabinet. Ensure that there is a category that contains the pre-fill year(s). Click Finish to save your changes and close this window.
If there is no category containing the available pre-fill years, an error message will display after clicking Finish.
- In the Pre-fill Report File Settings window, the Filing cabinet and File name fields are populated with your settings. Click Save to save your changes and close the window.
- If you do not have Document Manager, or wish to save reports directly to your hard drive:
- Select Use File System.
In Define the root path, select the path where the saved Pre-fill reports will be stored. This can be either the default document tab path, or another path.
If you are selecting your own file path, click Browse to select the destination folder.This location should be accessible to all users in your practice who open these reports.
If the SBR Sender Service is on a different machine, such as a server, you should use a network share path (for example, \\server\folder) and set sharing permissions accordingly for reading/writing files. Refer to KB 38335 for more information on verifying if the service is running on a machine.To define the folder structure in your root path, select the appropriate values in the Choose the folder structure dropdowns.
To define the file name structure of your saved pre-fill reports, select the appropriate values in the Choose the file name structure dropdowns. The dropdown values are Return Code, Year, and Custom. To define your own text, select Custom and enter the value in the text field below the dropdown.If you are using the default document tab path, the file name must contain the year.
If you are using a custom file path, the file name must contain the year and the Client Code.- Click Save to save your changes and close the window.
- Select Use File System.
