On the Process customer returns page, you can credit or reimburse customers for goods returned or services not used. You can also credit customers for invoice overpayments. The return should first be created using the procedure outlined in To create a customer return.
If the customer:
has an unpaid invoice which you can apply the return to, go to To apply a return to an unpaid invoice.
either has no unpaid invoices, or wants an immediate refund, go to To issue a return as a refund.
To apply a return to an unpaid invoice
- First, complete the procedure outlined in To create a customer return.
- If you’re not already on the Process customer returns page, go to the Invoices page and click the Process customer returns link.
- The Process customer returns page appears, displaying a list of all customer returns awaiting crediting or refunding.
- Select the return to be applied to an unpaid invoice.
- Click Apply to an invoice.
- The Apply to an invoice page appears, displaying details of the return, as well as a list of any unpaid invoices for the customer. The value of the return to be applied appears in the Total credit to apply field.
- Copy the value in the Total credit to apply field into the Payment amount field for the unpaid invoice you want to apply it to.
- Click Save to apply the return amount to the unpaid invoice.
Repeat from step 1 for any other returns to be applied to unpaid invoices.
To issue a return as a refund
- First, complete the procedure outlined in To create a customer return.
- If you’re not already in the Process customer returns page, go to the Invoices page and click the Process customer returns link.
The Process customer returns page appears, displaying a list of all customer returns awaiting crediting or refunding. - Select the return to be refunded from the list.
- Click Refund to customer.
The Refund to customer page appears, displaying details of the return. - Check that the Date, Reference number and Refund amount fields are correct.
Select the From account from which you want the refund debited.
- Add to the Notes field if required.
- Click Save to debit the refund amount from the selected account.
- Repeat from step 1 for any other returns to be refunded.
- Prepare and send the cash or cheque refund to the customer.
