ANSWER ID:9225

This support note provides information on working with images in your customised forms to ensure they display and print correctly.

Here's what we'll cover:

What image file formats are compatible?

How do l insert a logo on the customised form?

Resizing an image

Troubleshooting

Note: Images larger than 200KB may not display correctly when added to your form. Large image files will also increase the file size of PDFs generated from your software, and may prevent these documents from being emailed. Also, large image files may adversely impact the performance of your software. To determine the file size of an image, right-click the image file and choose Properties.

What image file formats are compatible?

MYOB accepts pictures in BMP, .EMF, .GIF, .JPG (JPEG), .PNG, .TIF, .WMF and .ICO.

In addition, AccountEdge for Macintosh will also accept PICT and MacPaint format.

Note: BusinessBasics & earlier software versions only accept the BMP format when using the Load Picture button, but other file formats can be pasted in as described below.

How do l insert a logo on a customised form?

For the new AccountRight (v2011 and later), see our support note Customising forms in the new AccountRightfor information on adding logos and other images to your forms.

You can either Load or Paste images into your form as described below.

Load a graphic

To load the graphic into a form such as an Item Invoice:

  1. Go to the Customise Item Invoice window.
  2. Click the picture tool which is the third button from the left in the toolbar.
  3. Click the form layout where you want to place the graphic. A picture frame will appear to show the location of the picture field on the form.
  4. The graphic is then pasted from the clipboard by double-clicking the picture field, then for Windows click Load Picture, or for Macintosh click Load.

Paste a graphic

Before you can paste a graphic into your form, it must first be copied to the System clipboard. Please refer to your operating system's manual or Help files for information on how to do this. Programs such as Microsoft Word also have a clipboard function.

To paste the graphic into a form, for example an Item Invoice:

  1. Go to the Customise Item Invoice window.
  2. Click the picture tool (the third button from the left in the toolbar).
  3. Click the form layout where you want to place the graphic. A picture frame will appear to show the location of the picture field on the form.
  4. The graphic is then pasted from the clipboard by double-clicking the picture field, then for Windows clicking Paste Picture, or for Macintosh by clicking Paste.

Resizing an image

When a picture has been added to your form, click the picture to display its "handles" - small black dots around the edge of the picture. By clicking and dragging one of these handles, the picture can be resized as required. Note that the picture will retain its aspect ratio when resized. Enlarging your picture may reduce the quality of the image, so ensure the resolution of your image is adequate before adding it to your form.

Ideally, it is best to use an image that is already the correct size, to avoid any image artifacts/dithering which can be caused by resizing. These artifacts can occur when enlarging and reducing, but they may be particularly apparent if you use a small image and enlarge it on the form.

Troubleshooting

Images distorted or missing when you view AccountRight invoices or statements (using Windows 8)

See our support note Images missing or distorted in PDFs when using AccountRight on Windows 8.

Images not appearing when emailing or faxing invoices

For Classic AccountRight versions (v19 and earlier) you will need to install Apple QuickTime for images to display properly in your customised forms. See our support note Logo not displaying in customised forms for more information.

Images not printing or displaying on screen

Is the field size large enough in the form? You may need to increase the size of the picture field on the screen. Is the logo in the correct file format?

Images printing with pixilated, fuzzy, or jagged edges

You can try smoothing the edges of your picture in a graphics package before pasting it into the form. Also try to get the logo to an appropriate size and resolution before adding it to your form, rather than resizing within the form.

Images printing entirely black

This may occur if the resolution of the graphics is too high. You should try lowering the resolution in a graphics package before pasting it into the form. Is there anything pasted on top of the logo in the Forms Customisation screen - if so, move the field and see if it improves the printing of the logo.

Images not printing correctly on one computer, while printing OK on the computer where the image was pasted (Premier and AccountEdge only)

Make sure that the Colour Depth is the same as the computer where the logo was pasted into the form. If the computer was set to 256 colours in the Control Panel, the same setting should be set on the other computer(s).

Images not printing in colour

Previous software versions do not allow colour graphics above 16 colours to be printed in forms. It will convert them to grey scale images.
