In Practice Manager (PM), you can amend the client name and code from the client's Main tab. The process is a bit different depending on your specific setup. Take a look at the section that matches your situation.

If you use Document Manager

To amend a client name and code
  1. Open the client, click the Main tab and then Edit client detail option on the Tasks bar. The Amend Client Name window appears.

  2. Edit the client name and/or code as appropriate and click OK to save the changes.

If you have documents linked to the client code and don't use Document Manager

Take a look at the relevant info depending on whether you're using the original view in AE (Create links to individual documents) or Windows Explorer view (Specify a documents folder for each client).

AO sites use Windows Explorer view by default.

For AE sites, to check which view you use, go to Maintenance > Documents > Document Storage Settings.

If you use the original view (AE sites only)

To amend a client name and code
  1. Unlink the documents:
    1. Open the client and go to the Documents tab.

    2. Highlight the document you want to unlink and click on the Delete or Delete document option on the Tasks bar, depending on your version. The Remove Document window appears.

    3. Select No to delete the link only.

    4. Repeat these steps to remove any other linked documents.

  2. Make your amendments:
    1. Open the client, click the Main tab and then Edit client detail option on the Tasks bar. The Amend Client Name window appears.

    2. Edit the client name and/or code as appropriate and click OK to save the changes.

      If there are many documents linked to a client code it is recommended that you change the client name only and do not change the code.
  3. Re-link the documents:

    1. Open the client and go to the Documents tab.

    2. Click on the Attach Link or Add link option on the Tasks bar, depending on your version. The Open window appears.
    3. Browse to the document you want to link and click Open. The document link is added to the table of documents.
    4. Repeat these steps to link any other documents.

If you use Windows Explorer view

To amend a client name and code
  1. Make your amendments:
    1. Open the client, click the Main tab and then Edit client detail option on the Tasks bar. The Amend Client Name window appears.

    2. Edit the client name and/or code as appropriate and click OK to save the changes.

  2. If the folder name is based on the client code, change the client folder name on the network.
    1. Browse to the folder in File Explorer and rename the folder. For example, if the folder name is based on the client code, change the folder name from ANDER99 (old client code) to ANDERJT (new client code).
  3. If you changed the folder name in Step 2, change the documents folder location for the client in AE/AO (if applicable):
    1. Click the Documents tab under the client and note the Client documents folder at the bottom of the tab.
    2. In the Documents tab, select Change Documents folder, update the path to the new location and click Ok.

If you use Compliance Integration

If you're running Compliance Integration, you can't amend client codes yourself. This is because you'd lose the link to work files.
