In MYOB BankLink Practice there are four different ways to secure your own client file:

  • Password Protect your file:  Prompts all users for a password when opening the file.
  • Password Protect the Bank Account:  Prompts users for a password when doing any coding or attaching the bank account to any client file.
  • Restrict Users:  This options only allows users to access the client files assigned to them.
  • Books Secure Client:  By setting the client file as a Books Secure Client, this will mean that the data download is done from within the file and not from the main system download. 

The following processes are detailed below for these options.

How do I password protect a client file?

  1. Open the Client File.
  2. Navigate to Other Functions > Client Details.
  3. Locate the Password field and choose a password.
  4. Re-type the password to confirm it.
  5. Click OK to save the changes.
    The client file is now password protected. 

When any user attempts to open this client file they will be asked for the password.

 

How do I password protect a bank account?

  1. Navigate to System > Bank Accounts.
  2. Locate the bank account in the list.
  3. Double click on the bank account.
    The Edit Bank Account window appears.
  4. Type in a password for the bank account.
  5. Re-type the password again to confirm the password.
  6. Click OK to save the changes.
    This password is now saved.


A password will be requested when opening any coding periods, attaching or removing the bank account from any client files.

 

How do I restrict user access?


To give users restricted access in BankLink practice you will need to first assign each user the restricted user type status.  Then assign what client files you want the users to be able to access. 


To assign the user type please do the following:

  1. Navigate to System > Users.
  2. Select a User and click Edit.
  3. Go to the User Type.
  4. Use the drop down menu and select Restricted.

    You can now assign the files that the user will have access to:

  5. Within the User Details window, click the Files tab.
  6. Click Add.
    This will allow you to assign client files to this user.
  7. Repeat steps 5 and 6 for all users that you want to have restricted access in BankLink Practice.

 

How do I create a Books Secure Client?


In setting a client file as a Books Secure Client this will mean that you will do the data download from within the client file (i.e. on a client file basis) and not from your main system download.  The information on how to do this please refer to .
