Products and services set up as items
To speed up your data entry you can create an items list of the most common services you provide or products that you sell. Once the details are set up, all you need to do later is select the item and the details will appear on the Invoice or Bill.
Before you start creating items, consider using a naming method for item numbers and item names, so that similar items are sorted together. Give each item a unique ID and a name and then based on what the item is determines what details you need to complete.
IckyLeaks wants to set up the following services and products as items.
P001 - Pipes
- Buys and sells this item
- Track the costs to 5-1000 Plumbing purchases
- Tracks the income to 4-2000 Plumbing products
- Charges customers $20 for each pipe
- The last purchase price field is updated from the bill details that we will enter later
S001 - Install pipes
- Install new pipes and assemble pipe sections and tubings
- Tracks the income to 4-1000 Plumbing services
- Sells this service at $80 per hour (exclusive of GST)
P003 Equipment Hire
- Hires lots of different equipment so the price differs each time (we only buy this in)
Tracks the cost of hiring equipment to 5-2000 Equipment hire
AccountRight remembers and uses the same selling and buying details of the last item you added. Be sure to check and correct these if they are different.
Edit an item
You can open an item for editing by clicking on the item number or name of an item in the item list. Make and save the changes.
Delete an item or mark it as inactive
You can only delete an item if it hasn't been used in transactions. Otherwise mark an item as inactive. This will remove the items from reports and lists but retained in case you need to access the details in the future.
