In MYOB Accountants Office (AO) Classic you can create template letters to quickly and easily produce letters with standard or commonly used text.

Following is information regarding how to produce a letter using a Quick Letter template as well as how to edit the Quick Letter template.

 

To create a Quick Letter
  1. Open MYOB Accountants Office and open the Clients module. The Client Details window opens.
  2. Select the relevant client from the Client drop-down list. The client's details appear.
  3. Click the Files tab. The files associated to this client appear.
  4. Click New File and select Quick Letter. The Quick Letter open in Microsoft Word with some of the basic letter information defaulting from the client's details in MYOB AO.
To edit an existing Quick Letter template
  1. Open Windows Explorer or Computer and navigate to your template directory; for example C:\MYOBAO\DATA\Documents\Templates.

    To confirm your template directory, navigate to the main window of MYOB Accountants Office and from the Tools menu, select Options. Click the Clients tab and then the Defaults tab. The path in the Template Path field is your template directory.
  2. Double-click the file named quickletterxx.dotx and make the necessary changes. The document template is updated.

    xx = 2 digit identity code representing the version of Microsoft Office the Quick Letter was originally created with. For example, Microsoft Office 2000 - quickletter00.dot. 


  3. Click the Office button and select Save As. The Save As window opens.
  4. Navigate to your template directory. The location is selected.
  5. Type a new name in File name, select Word Template (*.dotx) in Save as type and click Save. The file is saved.
  6. Exit Microsoft (MS) Word. MS Word closes.
  7. In Windows Explorer, right-click the quickletterxx.dotx file and select Rename. The file name becomes editable.
  8. Rename this file to oldletterxx.dotx. The file is renamed.
  9. Right-click the document saved at step 5 and select Rename. The file name becomes editable.
  10. Rename the file to be quickletterxx.dotx. The file is renamed and when you use the quickletter option, the new letter content is used.

How to edit a quick letter template on Windows XP o/s:

If you are using Microsoft Office XP, right-click the file named quickletterxx.dot in the template folder and select Open. Make your changes and then save and exit from Microsoft word. The procedure has been completed and there is no need to complete any of the subsequent steps.
