When a client does not pay a bill or has paid a bill and requires a refund, a credit note can be raised to remove the amount from the debtors balance in the debtors ledger. A credit note does not reinstate WIP entries.

How to enter a credit note for a client
  1. Open the relevant client. The Client page opens.

  2. Access the Bills tab on the Client page.

  3. Click Billing wizard on the Tasks bar. The Billing Wizard window opens with the client details populated.

  4. Enter the relevant details, ensuring you select the relevant template from the Style drop-down.

  5. Click Next to open the Stage Two - Add bill amounts window.

  6. Click AO-GS-PM-Billing-MiscCharge.png to add a miscellaneous charge. The Select Client Job window opens.

  7. Double-click the job to record the credit note against. The Create new billing charge window opens.

  8. Select the required Transaction Date. The date must be in the same accounting period as the credit note date.

  9. Select the relevant Type from the drop-down (usually called credit note).

  10. Enter the amount of credit in the Amount field. This must be a negative amount.

  11. Enter the reason for the credit in the Notes field.

  12. Click OK to save and close the new billing charge.

  13. Click Close to close the Select Client Job window and return to the Billing Wizard. The credit amount is displayed in the Bill Amounts window in the Write-Off (On) column. The bill shows a negative amount. INSERTIMAGE AO-GS-PM-Billing-CreditNote.png 

  14. Click Next to and add the appropriate Bill Paragraphs with Credit Note information as required.

  15. Click Next and update the billing address information if necessary.

  16. Click Finish to return to billing main page.

  17. Check the Invoice date, and update if required

  18. Check that the relevant template for a credit note is selected in the Style field.

  19. Click Post to finalise and print the credit note. The credit note is listed as a new bill in the Full Billing History for the client.

  20. Click Debtors ledger in the Tasks bar. The Debtors Ledger opens.

  21. Click the credit note.

  22. Press and hold [Ctrl] and click the original bill.

  23. Click Allocate. The credit note is allocated against the original bill.
