How to link an external file to a period
  1. Open the workpapers period. See Opening an existing period. The Prepare Trial Balance (Workpapers) table is displayed.
  2. Click the Non-account specific documents checkbox. This is the first item listed in the table.
  3. Click Link document on the Tasks bar.

Another way of linking an external file to the period is to select Non-account specific documents in the table, right-click and select Link document.

    The Link Document window opens.
  4. Leave the Account field blank. The external file is being linked to the period and not to a specific account.
  5. Click Browse in the Select external file section. The Attach External File window opens.
  6. Navigate to the location where the file is stored and find the file.
  7. Click Open.
  8. Ensure that the path and file name in the File field are correct. The Reference field is disabled. The Document name field is automatically filled with the name of the file that is to be linked to the period. This can be changed, if necessary, by deleting the existing text and entering a new Document name.

The Document name must be unique. An error message is displayed if the Document name is already in use.

  9. Enter a new unique name for the external file in the Document name field.
  10. Click the Rollover this document to the next period checkbox. This will include the document in the next rollover period. During rollover, the previous workpapers period is used as a base. If this option is selected, the link to the document will be recreated and included on the same account in the next period.
  11. Click Link. The external file is linked to the period. The external file is displayed as a sub-row below Non-account specific documents in the table. An icon identifies a linked document.
