You can import contacts (customers or suppliers) into MYOB instead of entering their details one at a time. This is handy when you're setting up MYOB if you have a list of contacts you've exported from another program or have it in a spreadsheet.

Sample import files

For the easiest import, work with a sample file. These files have every heading needed for an import - all you need to do is add the contact information!

Let's step you through it.

 

To import contacts

To import contacts into MYOB

To import an accounts list into MYOB, the import file must:

  • be a text (TXT) file
  • be in tab-separated format
  • contain a header row for all mandatory fields
  • be under 25MB

To import contacts

  1. Click your business name and choose Import and export data.
  2. On the Import tab, for the Data type choose Contacts.
  3. For the Contact type, select Customer or Supplier.
  4. Click Browse and locate the import file.
  5. Click the import file then click Open.
  6. For the Match contacts using, choose how you'll match imported contact information with existing contacts.

  7. Choose the method for handling duplicate records.

  8. Click Import.
To import contacts using a sample import file

To import contacts using a sample import file

If you've exported your contacts from another program, it might not be in the right format to import it into MYOB.

So we've created a sample file that contains the required fields which you can populate for your business. Just download the file, open it in Excel and modify the data, then import the file into MYOB.

 

1. Download and modify the sample file
  1. Right-click the sample file for your country and save it to your Desktop: SampleContactsFile.txt
  2. Open a blank workbook in Microsoft Excel.
  3. Click and drag the downloaded sample template onto the the workbook. The file will open in Excel and the contents of the template will be displayed.
    When looking at the file in Excel, note the following:
    • the first cell contains parentheses (brackets) - these need to remain, as they indicate that the import file is from MYOB.

    • the second row (beneath the row with the brackets) is labeled so you can work out what type of information is displayed in each column.

  4. Enter your data in each applicable column. Remember:

    • each column in the import file represents a field in MYOB
    • each row in the import file represents a different contact
    • leave the brackets on the first row, and the headings on the second row.
  5. When you're done, save the template as a text (.TXT) file. If you like, you can give the file a meaningful name, such as "Customer Import" or similar.

2. Import the prepared template

By importing the prepared template you'll add new contacts to MYOB, or update the details of existing contacts. Be sure this is what you want to do before proceeding.

  1. Click your business name and choose Import and export data.
  2. On the Import tab, for the Data type choose Contacts.
  3. For the Contact type, select Customer or Supplier.
  4. Click Browse and locate the import file.
  5. Click the modified import file then click Open.
  6. For the Match contacts using, choose how you'll match imported contact information with existing contacts. If you're importing new contacts, choose Company name or last name.

  7. Choose the method for handling duplicate records.

  8. Click Import.
