 Nimbus uses a series of standard System email templates to send emails (both internal and external) when a particular events occur. You can edit these templates as required. The table below outlines the standard templates and when they are used.

New customers If you're a new Nimbus customer, consider reviewing the content of system emails and adjusting them to include your own wording.

When a system email is sent by your Nimbus account, it uses a stationery file as follows:

  • ClientFacingSystem - email stationery: Emails sent to clients.

  • BusinessFacingSystem - email stationery: Emails sent within the business.

Editing a system email template
  1. Go to Templates > System Emails.
  2. Click the blue edit arrow.

All templates use the Nimbus database mail merge fields, to add business, client, and contact details to emails sent by Nimbus.

2FA Pin.email.html

Sent to staff members or a client contacts when they request a 2-factor authentication email where a mobile phone is not available.  It includes PIN number which they enter into the login screen.

Client Invited.email.html

Sent to contacts who are invited to access another client entity, by that client. It is only sent when the person being invited already has a login to Nimbus.

Client Login Updated. Email.html

Sent to a client who uses their email address as a login code when their email address is changed in the system.

Client Registration Link.email.html

Sent when a client entity invites a third party to login to their client portal and access the contents of a whole folder.

Client Request Login.email.html

No longer used. Previouly It used for loging requests for unsecure Nimbus accounts.

Client Reset Password.email.html

Sent when a client clicks the Forgot Password icon, includes a login code that allows them to set a new password.

Client Welcome.email.html

Sent when a staff member clicks the welcome email icon for a client entity or for a contact.

Confirmation N4.email.html

Sent when a user sets up 2FA for Nimbus SSO to send a code and request email verification.

File Conversation.email. html

Sent when a file conversation is added to a file and to notify staff members when a Workflow Status is changed on a document (CDM Only).

File Sharing Invitiation.email.html

This email is sent when a single file is shared with a third party.

Submitted Checklist.email.html

This email is sent to the Client when they have successfully submitted a Webform Checklist.

Upload Notification Signature Required.email.html

This is sent when a file is uploaded, and the option for “Signature Required” is selected.  It is sent to the Client / Contact when the Practice uploads a file.

Upload Notification.email.html

This is sent when a file is uploaded and the default option to send a file upload notification is left selected.  It is sent to the Client / Contact if the Practice uploads a file.
