New clients and contacts are created using the Create Client/Contact Wizard, which allows you to enter the basic information about a client. Mandatory fields are identified by an AO-GS-Icon-Mandatory.png and must be completed before the client can be saved.

After creating a client you should also enter the client’s home and postal address. See Adding and maintaining client addresses.

In Australia, once you have created a client as a Person or an Organisation, you cannot change their contact type. They must remain a Person or an Organisation.

To create a new client
  1. Click AO-GS-Button-Clients.png. The Find Clients page opens.
  2. Click Create client under Find Clients on the Tasks bar. The Create Client / Contact Wizard opens.
  3. Select whether the client is a Person or an Organisation.
  4. If the client is a Person, the Contact Type field automatically fills with the Individual type. If the client is an Organisation, select the Contact Type from the drop-down.
  5. Enter the client’s information into the wizard window. At a minimum you must enter information into the mandatory fields which are identified by a AO-GS-Icon-Mandatory.png.

    1. For a client of type Person, you may want to enter:

      Person DetailDescription
      CodeEnter a code for the client which can be used to uniquely identify the client. This is a mandatory field for all clients.
      TitleEnter a title for the client, for example, Mr, Ms, Mrs, Miss, Dr.
      First NameEnter the client’s first name.
      Last NameEnter the client’s surname. This is a mandatory field for clients of type Person.
      GenderSelect the gender from the drop-down.
      PartnerSelect the relevant partner from the drop-down.
      D.O.B.Enter the date of birth. You can enter the date or select the date from a calendar. The age will be automatically calculated.
      TFN (AU)The client’s Tax File Number. MYOB AO verifies that the number entered is a valid tax file number.
      IRD Number (NZ)Enter the client’s IRD Number.
      Balance Month (NZ)Enter the month number that will be used as the balancing month for this client. Valid values are 1 (January) to 12 (December).
      Tax Client (NZ)Select whether the client is a Tax client or not. The checkbox is selected by default.
    2. For a client of type Organisation, you may want to enter:

      Organisation DetailDescription
      Contact TypeSelect the relevant type of contact from the drop-down.
      PartnerSelect the relevant partner from the drop-down.
      CodeEnter a code for the client which can be used to uniquely identify the client. This is a mandatory field for all clients.
      Pre NameIf the organisation’s name begins with an An, The or A, enter this into the Pre Name field. This will allow you to search on the Main Name and find the organisation you are looking for more easily.
      Main NameEnter the name of the organisation. This is a mandatory field for clients of type Organisation.
      SalutationThe name that the organisation is normally known by or prefers.
      Mailing NameThe name used for mailing addresses, alternative to the full name or salutation. If you do not enter a mailing name, the client/contact’s full name is used.
      AddresseeEnter the name of the person you write to at the organisation if it is different to the Mailing Name.
      TFN (AU)Enter the client’s Tax File Number. MYOB AO verifies that the number entered is a valid tax file number.
      ABN (AU)Enter the client’s Australian Business Number.
      ACN (AU)Enter the client’s Australian Company Number.
      IRD Number (NZ)Enter the client’s IRD Number.
      Balance Month (NZ)Enter the month number that will be used as the balancing month for this client. Valid values are 1 (January) to 12 (December).
      Tax client (NZ)Select whether the client is a Tax client or not. The checkbox is selected by default.
  6. Click Finish to create the client.
